Job Description

The Library Patron Services Coordinator for the Farmington Public Library:

Works under the general supervision of the Library Director.

Supervises the Patron Services Department staff and volunteers.

Plans, implements, and coordinates the work of the Patron Services Department, including staff training and development, to ensure consistent quality in customer service and the management of activities related to public library services.

Identifies resources needed to provide services.  Forecasts and recommends expenses and costs of providing library services, and monitors expenditures throughout the year to maintain an accurate and efficient budget.

Analyzes, establishes and maintains the best practices for managing the Patron Services Department.  Collects and reports data and statistical information related to Patron Services Department operations.

Actively focuses on the overall patron customer experience.  Responsible for establishing and maintaining the library’s customer service model for greeting and assisting the public.  Creates and maintains a calm and professional demeanor during high-stress periods.

Assesses and manages ongoing work processes to ensure efficiency, effectiveness, and accuracy.  Updates training aids and process flowcharts accordingly.

Makes effective use of the library management system related to the circulation of library materials, the maintenance of library user accounts, and other aspects of public service.  Uses the library management system to collect statistical information and to monitor progress toward meeting goals.

Enforces and interprets library policies and procedures with regard to patron accounts and use of library materials.  Resolves patron service complaints and issues, which may include negotiating and authorizing reduction or cancellation of fines or fees.  Determines and authorizes refunds in accordance with library policies.

Participates in the hiring, training, and evaluating the work performance of library employees.

Responsible for the development and implementation of training for Patron Services Department staff in the areas of customer service, shelving, information assistance, automated system procedures, and library policies.

Responsible for creating and administering a successful ongoing communication plan, for the purpose of disseminating information to Patron Services Department staff in an appropriate and timely manner, while taking into consideration the size and diversity of the staff.

Responsible for keeping staff informed of library goals, programs, processes, policies and procedures.  Plans and conducts regular staff meetings with Patron Services Department staff members.

Establishes performance objectives for staff; observes, documents, recognizes, rewards and disciplines work performance.  Evaluates employee performance and completes performance evaluations of staff members as needed or required.

Responsible for the Patron Services Department work schedules.  Reconciles and approves employees’ time records.

Responsible for the managing, training, and monitoring of the library’s cash-handling procedures; coordinates with the City of Farmington Finance Division to ensure compliance and best practices, and participates in routine cash audits.

Ensures the overall condition and maintenance of equipment used to provide overall library services.  Examples include automated check-out and return systems, security gates, credit card machine, cash register, and office equipment.

Works with other library departments to coordinate overall workflow processes and the effective use of the library management system.

Works with other library departments to resolve issues or conflicts.

Participates in the development of marketing materials for promoting library programs, materials, and services.

Participates in the development of policies and standards with regard to the library’s public services.

Attends and actively contributes to the library’s management team projects and meetings.

Participates in professional organizations and activities to stay informed of current and emerging trends in public libraries.

Establishes and maintains effective working relationships with other employees, officials, and all members of the general public.

Attendance at work is an essential function of this position.

Qualifications Include:

Management or supervisory experience with both critical and creative thinking skills.

Strong public service orientation and excellent public relations skills.

Excellent oral and written communication skills necessary to work effectively with students, volunteers, and part-time and full-time staff.

Knowledge of current and emerging principles and practices common to modern public library operations.

Working knowledge of common computer applications, and automated library management systems.

Working knowledge of the principles and practices of management and supervision.  Must have the ability to organize, prioritize, and meet deadlines.

Ability to train, supervise and motivate library staff within a team environment.

Ability to establish and maintain working relationships with co-workers, supervisors, other City personnel, and the general public.

Excellent interpersonal communication skills, to effectively interact with all age levels and cultural and socioeconomic backgrounds.

Valid New Mexico driver’s license with acceptable driving record for the past three years.

Operates a motor vehicle to assist in carrying out the business of the department and the City.

This position has the responsibility to participate in and comply with the City’s Environmental, Health, and Safety Program.
