Job Description

GENERAL SUMMARY:The Staff Accountant position is responsible for managing the process of Accounts Payable, Accounts Receivable, Fixed Assets and other accounting functions in accordance with established policies and procedures for the District. This role reports to the Accounting Operations Manager and is subject to special projects outside the recurring duties including research, process improvement, compliance, internal audit and ad hoc requests. ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Full–Cycle Accounts Payable processing utilizing the functionality of the Library’s accounting software accounts payable module.
  • Analyze and interpret AP/ Expense results.
  • Accounts Payable vendor maintenance.
  • Maintains accounting files in good order.
  • Primary contact for invoice-related issues with vendors.
  • Manages credit card accounts. Tracks, reports and reconciles credit card expenses.
  • Inputs various data into computerized accounting system, databases and spreadsheets.
  • Updates and reconciles Fixed Asset module with monthly activity.
  • Coordinates annual Fixed Asset audit.
  • Assists with the preparation of monthly financial statements.
  • Assists Accounting Operations Manager with annual financial audit responsibilities.
  • Reconciles data file for library materials purchases from Technical Services to supporting documentation.
  • Daily review and processing of cash related events including AR and AP.
  • Assists the Purchasing Specialist with supply ordering for the district, as needed.
  • Creates positive experiences for library patrons by effectively and efficiently performing job tasks; presents a positive image of the library in attitude, communications and appearance while performing duties in both the public and staff areas.
  • Demonstrates a professional, positive, cooperative, team-oriented working relationship with staff, co-workers, and volunteers.
  • Stays current on DCL policies, processes, procedures and technologies required to perform work.
  • Promotes DCL’s culture of safety by following library safety policy guidelines and safety rules. Practices effective personal and branch safety.
  • Performs other work duties as assigned.

 REQUIRED QUALIFICATIONS:

  • Knowledge of Generally Accepted accounting principles, practices and procedures including cost accounting. 
  • Ability to plan, initiate, and complete work assignments with minimal direction.
  • Understands and applies legal requirements and administrative policies to the departmental accounting functions.
  • Is aware of internal controls and can detect possible weaknesses and recommends revisions.
  • Ability to communicate professionally with all levels of staff regarding procedures and policies.
  • Maintains effective working relationships with others.
  • Produce written memos and reports that are concise and accurate.
  • Strong spreadsheet skills, intermediate level or higher.
  • Ability to master internal accounting package.
  • Must be detail oriented.
  • Must have the ability to learn and become proficient in functions required to perform job duties, working effectively independently or as part of a team to complete tasks as assigned.
