Job Description

SUMMARY:  The Volunteer Coordinator manages the volunteer programs of the District.  The position assesses needs, determines priorities, develops job descriptions, and oversees the recruitment, training, management and support of District volunteers.

ESSENTIAL DUTIES AND RESPONSIBILITIES:  The following duties and responsibilities are illustrative of the primary functions of this position, and are not intended to be all inclusive.

Planning

  • Work regularly with District staff to identify volunteer needs and forecast short and longer term demands.  Develop diverse, appealing and useful volunteer opportunities that support District’s needs. Establish plans, strategies and goals.

Marketing, Recruitment and Outreach

  • Recruit volunteers by participating at public events and meetings, making presentations, distributing recruitment tools, and posting volunteer requests.
  • Create written materials.
  • Market the benefits of joining the volunteer program. Develop and maintain strong relationships with groups and individuals throughout the community to foster a positive image of the District and make it an appealing volunteer organization of choice. \

Volunteer Selection, Training

Placement Engagement and Supervision.

  • Ensure the volunteer program is easy to access, rewarding for volunteers, and productive for the District.  Establish and document optimal practices and procedures for volunteer processes.
  • Develop training materials and programs. 
  • Provide orientations, tours and training for new and potential volunteers. 
  • Evaluate new and potential volunteers and place volunteers in optimal positions. 
  • Identify appropriate supervising staff for volunteers. 
  • Monitor volunteers’ success, satisfaction and engagement.  
  • Serve as a resource for staff and volunteers for resolving problems or challenges.

Volunteer Appreciation and Recognition.

  • Develop a volunteer recognition program designed to thank and acknowledge volunteers and organizations for their efforts.
  • Plan volunteer recognition events.
  • Work with supervising staff to evaluate volunteer performance for recognition.

Reporting, Evaluation, Administration.

  • Perform administrative tasks by developing volunteer materials such as applications and surveys.
  • Maintain volunteer records.
  • Compile volunteer statistics and reports.
  • Track overall program statistics.
  • Employ appropriate technology tools to identify, manage, document and report on volunteers and volunteer activities.

SUPERVISORY RESPONSIBILITIES:  This position is responsible for the supervision of District volunteers, but not paid employees.
