Job Description

The University Libraries at the University of Colorado Boulder is hiring for a professional Assistant to the Dean of Libraries. This position provides administrative and office support for the University Libraries Dean in all facets of his duties. This includes the management of the office’s daily obligations and support staff, supervising and mentoring the office staff, working as a liaison for the Dean with staff of other offices within the Libraries and on campus, and managing the fiscal and other resources associated with management for a University Officer.

What your key responsibilities will be: 
• Direct support for the Dean of Libraries including management of the Dean and two Associate Deans’ calendar, appointments, and travel. 
• Financial reporting for the Dean and Associate Deans including travel, procurement and corporate cards, and reimbursements and official functions relating to the Dean’s office and its staff. Monitor fiscal solvency of Dean’s office operations.
• Liaison, in collaboration with the Libraries Marketing Manager, to the Friends of the Libraries. Attend and represent the Dean or Associate Dean at all Friends board meetings and events; produce and plan events; fiscal oversight of the activities, programming, and membership; work with the Recruitment to the Profession Committee to fund internships for the Friends of the Libraries Apprentices and Fellowships.
• Manages all front desk office functions and reception staff who are responsible for meeting and greeting visitors, appropriately directing calls, handling various email communication, and general administrative support. Implement appropriate training and support related professional development.
• Serve as recording secretary for the Boulder Faculty Assembly Library Committee including the preparation of all agendas, minutes, and documents.
• Work with the Dean on special projects as needed, e.g., campus search committees, and represent the Dean’s office to the campus, the various publics that are served, and the professional and civic organizations with whom the Dean is associated, e.g., HR Council. Serve as recording secretary for the Chancellor’s Commencement committee and play a pivotal role participating in the ceremonies as the Commencement Marshal’s assistant. Coordinate dignitary visits.

What we can offer:
The anticipated salary range for this position is $46,000-$58,000 and is commensurate with skills and experience.
