Job Summary:

Under the direct supervision of the Collections and Resource Management Librarian, this position has a variety of functions within the Collections and Resource Management Department, with primary responsibility for all functions pertaining to ordering, receiving, claiming and paying for library monographic, serial standing order, and media materials. Other duties involve knowledge of library operations, terminology and integrated library systems (ILS ). Excellent written and verbal communication skills are required, as is a willingness to work cooperatively with supervisor and colleagues.

Major Duties and Responsibilities:

1. Ordering: 30%

• Responsible for placing all library orders for monographs and media within appropriate time-frames, as defined in departmental policies. Process includes performing pre-order searching to determine duplicate titles and to determine vendor selection. Communicating with bibliographers to clarify questions about selections. Placing orders with established library vendors and recording orders in the current ILS by creating a brief bib and an order record.

• Responsible for loading World Cataloging Partners records from established vendors upon receipt of file and materials; overlaying brief bibs. Process includes identifying errors in the loading process and reporting those errors.

• Responsible for monitoring outstanding orders and following up with vendors on open orders on a regular basis.

• Responsible for monitoring approval plans. Process includes receiving materials; identifying duplicates; recording orders in the ILS ; and returning items not selected.

• Responsible for monitoring assigned fund balances to ensure that funds are not overspent.

2. Payments: 30%

• Responsible for paying invoices. Process includes paying invoices in the current ILS ; coding invoices with proper accounts payable information; and recording invoice payments in reconciliation spreadsheet.

• Responsible for receiving and paying invoices for serial standing orders.

• Responsible for importing invoices from established vendors. Process includes monitoring the loading process; identifying and fixing any financial discrepancies; and maintaining the current order number information for the annual EBSCO journal invoice.

• Performing daily posting; managing posting log; and printing posting reports. Reviewing posting reports for errors and reporting errors to Collections and Resource Management Librarian.

3. Receiving: 20%

• Responsible for receiving library materials. Process includes opening boxes and verifying the contents against packing lists. Inspecting materials for damage. Perform physical processing of monographs and standing orders (e.g. spine labels, property stamps,) as necessary. Work with vendors to resolve issues surrounding damaged or missing merchandise. Separate and distribute materials to various areas of department based upon items being pre-cataloged and items requiring cataloging. Perform quality control of OCLC -provided World Cataloging Partners records.

4. Government Documents: 10%

• Responsible for receiving all documents materials; physical processing on all documents materials; and shelving all documents materials. Process includes maintaining integrating resources; monitoring superseded lists to maintain the collection; and extensive involvement in documents weeding projects. Claim missing items; track claims; follow up with vendor as appropriate. Follows Federal Depository Library Program guidelines.

5. Other: 10%

• Maintaining department files, according to records management guidelines.

• Working with government documents as assigned.

• Performing various database maintenance projects as assigned.

• Generating reports on statistical and financial data regarding materials ordered and received.

• Monitoring vendor performance and reporting problems to Collections and Resource Management Librarian.

• Assisting with supervising student employees.

• Handling Browsing Collection weeding; add/replace copies as needed.

• Providing backup to Cataloging and Collections Maintenance Assistant. Cross-train in other Collections and Resource Management positions to assist as needed.

• Assisting Cataloging and Collections Maintenance Assistant with tasks related to binding, claiming, withdrawing, and checking in microfiche and print journals. Pulling and preparing journals for binding; running and investigating claims; pulling and processing weeded mono-graphic and serial resources; removing library holdings from OCLC WorldCat; maintaining accurate journal check-in records; troubleshooting periodicals delivery issues with vendors.

• Assisting Cataloging and Collections Maintenance Assistant with managing gift books. Communicating gift books policy to potential donors; receiving and distributing gift books to bibliographers for collection assessment; executing bibliographers’ decisions to add or not add books to the collection; prepares books for distribution to outside contractors.

• Actively participating in departmental staff meetings.

• Maintaining a current procedures manual for this position.

• Working cooperatively with supervisor and peers.

• Performing other duties as assigned to support the Regis mission.

Minimum Qualifications:

• Familiarity with an integrated library system.

• Accurate keyboarding/computer skills.

• Solid knowledge of arithmetic.

• Solid knowledge of the English language: grammar, punctuation and correspondence forms. Solid knowledge of email products and internet use.

• Strong knowledge of Microsoft products, especially Excel.

• Working knowledge of office equipment such as photocopies and adding machines.

• Knowledge of general office procedures, such as filing.

• Ability to communicate clearly with others orally and in writing.

• Must be able to lift and carry 35 pounds to move books or boxes of books around the office.

• Must be able to push and pull file drawers open and closed. Must be able to push dolly and book trucks in order to move/rearrange boxes of books.

Preferred Qualifications:

1 year academic library experience preferred.

Familiarity with accounting principles and budgeting preferred.

Familiarity with III Sierra integrated library system preferred.
