Job Description

The Administrative Assistant will coordinate scheduled exams, available testing locations, and available proctors to create a proctoring schedule; act as a receptionist, greet visitors, as well as ODS students, answering routine questions or referring on to Director; provide continuous telephone and personnel coverage. Screen and direct calls, answer routine questions, place telephone calls, take messages and make appointments; email students and professors for possible note takers, log contracts, distribute notes, pay note takers and track statistics for accommodation; type letters, memos, statistical and other reports, prepare routine correspondence and replies to routine correspondence for appropriate signature including ODS letters to students; supervise student employees; assist with data collection for ODS, including daily and monthly tracking of statistics for ODS; responsible for collecting and keeping track of note taker contracts for students eligible for note taking accommodations; assist in scanning textbooks into alternate format; track monthly budget for ODS, entering all transactions into Quicken and filing, summarizing the budget status for Director on an as-needed basis; hire student employees; maintain web pages of the Office of Disability Services; assist students in signing out equipment and audio books for accommodations; maintain inventory of office supplies and instructional materials, reorder as needed; prepare sign language interpreter contracts, mail and then collect for pay request with Accounts Payable; compile results of program evaluations for ODS; coordinate and take minutes of departmental meetings; prepare the ODS newsletter; prepare budgetary forms (petty cash, petty advance, check requests); maintain suite area and perform other appropriate job-related duties as assigned by the Director of the Office of Disability Services; maintain student employee records; monitor use of assistive technology; and performs related duties as necessary to support the Regis mission.
