Job Description

DESCRIPTION OF JOB: BROAD SCOPE OF POSITION: This position exists to provide researchers and the public with access to information in the History Colorado collection, to provide reference service both onsite and virtually, and to manage the library’s photographic rights and reproductions permissions and collections use programs. These responsibilities include insuring institutional compliance with applicable copyright law and documenting commercial and nonprofit use of History Colorado images. The position will provide reference services on a daily basis, will contribute to library and History Colorado publications and social media output, will develop and present occasional classes and workshops for library patrons, and will undertake other duties as assigned. In order to provide the best possible service to researchers, the general public, and internal patrons, the position will be familiar with HC resources including documentary and artifact collections, educational programs, and exhibits. This position is a non-classified, full time position, exempt from overtime under the Fair Labor Standards Act, reporting to the Director of the Stephen H. Hart Library, and serving at the pleasure of the Board of Directors. This position has been exempted from the State Personnel System. DUTIES & RESPONSIBILITIES: Departmental, institutional, and professional meetings: The position participates in library, division, and all-hands meetings, as well as exhibit team and committee meetings, as projects occur. Position will participate in professional groups such as the Colorado Library Association, Art Libraries Society of North America, the Society of Rocky Mountain Archivists, or other related organizations to keep informed of changes and developments in the field and to insure that History Colorado access, service, and use policies remain current; and will share relevant information and expertise with colleagues. The position works with other organizations such as the Denver Public Library or Colorado State Library on projects that enhance and promote the Society’s interests, and may be asked to participate in planning and implementing digital photo projects using Society collections. Building the Organization through greater efficiency: Stephen H. Hart Library & Research Center staff are expected to develop, create, and seek out new and better ways to conduct the duties of their positions. They are asked to make the work processes more efficient and effective, and to implement cost-saving measures wherever possible. In particular, staff are encouraged to bring forward ideas that result in improvements in revenue generation or better services to the State of Colorado. Photo Research Services: The position is responsible for independently researching collection images and performing image selection in fulfillment of requests from both internal and external patrons; and for overseeing the photo order services. This includes processing orders, negotiating patron contracts, tracking patron orders, and working with the Photo Studio personnel. The position coordinates and schedules Photo Studio time and delivers completed orders to patrons. The position recommends, drafts, and implements revisions to policies and procedures relevant to photo access, processing, and use. Rights and Reproductions Permissions: The position manages Rights and Reproductions permissions regarding use of photographs in Society collections, and the Collections Use, or licensing, system. Responsibility is vested in this position to insure that the institution is in compliance with applicable copyright law and any relevant donor agreements signed at the time of collection accession. The position is responsible for advising internal (aka Society) patrons on their use of collection-derived images in exhibits, programming, and educational activities. To the best of their ability, this position is responsible for insuring that copyright and contract obligations stipulated in Library Use Agreements are met by all non-profit and commercial users of Society images. The position is responsible for developing and maintaining systems and workflow for documenting and tracking use of Society images, use permissions granted (licensing), invoicing, and receipt of books and other materials published using Society images. The position recommends and drafts revisions to Library policies and procedures to insure they reflect current standards, best practices in the field, and changes in copyright law. Reading Room Visitor Support and Education: The position supports Library & Research Center activities through courteous customer service including extensive desk service, registering, and orienting reading room visitors; identifying and pulling collection materials; and instructing patrons in the use of reference indexes, finding aids and library access machines. As part of the library/research center team, the position assists with opening and closing the reading room, and providing backup support for all forms of patron services. May be expected to participate in collections access maintenance projects such as indexing, cataloging, and data input. May participate in developing and teaching workshops on Society collections, research methods, visual literacy, and library services. May also be responsible for writing on historical or Colorado topics for Society newsletters, blogs, the Colorado Heritage journal, or social media vehicles. MINIMUM QUALIFICATIONS: Must possess a Master’s Degree in Library Science from an American Library Association accredited institution, AND A minimum of two (2) years experience in a library, special collections, digital image repository, or archives, with a strong emphasis on customer service. Knowledge of library and archival best practices, and collections handling practices are required. Familiarity with U.S. copyright law as applicable to library collections, fair use, and intellectual property issues is required. The successful candidate will have demonstrable experience with detail-oriented work including organizing and maintaining files and records, and must be computer and social media literate. Experience with on-line library catalogs and databases required. Candidates must possess a teamwork orientation, a strong sense of initiative, and must demonstrate strong creative thinking and problem-solving skills. The successful candidate will demonstrate diplomacy, active communication skills, and positive “people skills.” CONDITIONS OF EMPLOYMENT: • Must be able to work Tuesdays through Saturdays. This position is on a Tuesday through Saturday work schedule. • Successful completion of a background check • Ability to lift boxes up to 40 pounds from 14 foot shelves using a ladder • Ability to spend long periods of time standing, as well as long periods of time sitting. PREFERRED QUALIFICATIONS: • Knowledge of Colorado History and History of the American West • Knowledge of visual literacy theory • Experience or demonstrated knowledge of historic photographic formats and processes • Experience working with museum collection databases, such as Argus • Familiarity with History research methods and tools • Ability to write engaging and informative pieces on historical topics, of appeal to a broad audience • Experience with teaching research methods and tools to general audiences • Some familiarity with standard library cataloging practice, museum accession processes, serials management, and traditional manuscripts processing and organization • Ability to adapt to frequent change • Ability to work independently and take initiative where appropriate • Ability to solve problems and work as a team member • Ability to work under pressure and manage multiple tasks and deadlines
