Job Description
What You'd Do:
Provide broad-level administrative support to the Director of Neighborhood Services, the Director of Collections, Technology and Strategy and the Central Library Administrator. Monitor each director's budget funds and performance measurements. Provide data management. Write and edit documents. Anticipate director's needs by preparing reports, statistics and correspondence. Coordinate calendars and appointments, including contacting appropriate individuals. Communicate relevant information to internal and external customers, directing them to proper contacts, when needed. Attend meetings and develop notes and minutes for various people and uses.
You Have:
Knowledge of office practices and procedures. Knowledge of administrative functions including scheduling, calendars maintenance, purchasing procedures and filing systems. Skill in researching and analyzing information and operations. Skill in operating a computer and working with attention to detail. Skill in the use of office and spreadsheet software. Ability to thrive in a busy and demanding environment. Ability to demonstrate positive attitude, excellent interpersonal skills, a sense of humor and cultural sensitivity in working with customers and coworkers. Ability to creatively solve problems, negotiate and handle stressful situations in a positive manner. Ability to multi-task and prioritize. Ability to follow written and oral instructions. Ability to use workplace technology including email, internet and automated software. Ability to pass a physical and a background check after the offer to hire has been made.
Three years of administrative assistant or high-level clerical experience.
A high school diploma or equivalent.
Excellent customer service skills.
