Job Description

Are you looking for a library position where you can lead a team of volunteers committed to providing exceptional customer service?   Be a part of a transformational library committed to connecting the community to new and creative resources in meaningful ways.

Under general direction, administers the volunteer program for the Library and Arts department. Coordinates the effective and strategically focused recruitment and use of volunteers as a community and library resource. Performs related duties as required.

DUTIES AND RESPONSIBILITIES

  1. Manages recruitment, interviewing, training, placement, and recognition of volunteers to support Library and Arts department operations and programs, and special events.  This includes, but is not limited to the following:
  • Works with managers to set volunteer staffing goals and requirements base on strategic goals and long term plans of the Library and Arts department.
  • Assists managers in the assessment of potential volunteer responsibilities and makes recommendations regarding effective ways for utilizing volunteers in the Library and Arts department.
  • Develops, promotes, and maintains a wide range of volunteer opportunities within the department.
  • Manages and develops volunteer job descriptions.
  • Surveys staff and managers regularly to assess needs for volunteer assistance.
  • Recruits volunteer applicants and screens applications.
  • Interviews and places volunteers following best practices and according to the business needs of the department.
  • Conducts orientation and training sessions for volunteers in coordination with managers.
  • Plans, coordinates and implements volunteer recognition activities and programs in partnership with the library leadership team.
  • Promotes creative ways of recognizing the contributions of volunteers.
  • Periodically assesses volunteer-staff relationships, volunteer performance and satisfaction levels.
  • Manages volunteer reassignments, problem solving and terminations as needed.
  1. Administers volunteer program.  This includes, but is not limited to the following:
    • Effectively partners with other city of Boulder volunteer coordinators and departments, community and civic groups, schools, youth groups, faith based organizations, etc. on volunteer needs and initiatives.
    • Works with the city of Boulder’s volunteer program to effectively market volunteer opportunities with the Library and Arts department and across the city as a whole.
    • Designs, develops and maintains volunteer services recruitment materials, web postings, email newsletter publicity, volunteer forms, applications and training materials.
    • Maintains the volunteer personnel database.
    • Defines, implements, and communicates policy changes for the volunteer program as necessary.
    • Maintains records and statistics for the volunteer program. Creates and submits statistical reports annually to Library Administration.
  1. Manages work study student recruitment, orientation, and placement to support the Library and Arts department operations and programs. This includes, but is not limited to the following:
    • Manages work study job development and creates job descriptions.
    • Recruits, interviews and places work study students.
    • Conducts orientation and training sessions for work study students in coordination with managers.
  1. Creates positive experiences for library patrons by effectively and efficiently performing job tasks; presents positive image of the Library and Arts department in attitude, communications and appearance while performing duties in public and staff areas.
    • Demonstrates a professional, positive, cooperative, team-oriented working relationship with staff, co-workers, and volunteers.
    • Stays current on Boulder Public Library policies, processes, procedures and technologies required to perform work duties.
  1. Maintains professional connections and affiliations with other city of Boulder volunteer coordinators, local agencies that offer volunteer services, and regional public library volunteer coordinators. Represents the Library and Arts department by making public presentations regarding volunteer opportunities, management and the program as necessary.
  1. Administers library book sales and the Library Bookshop. This includes, but is not limited to the following:
  • Selects, trains and oversees the work of volunteers to sort donated materials and de-accessioned library materials and to routinely stock and maintain the Library Bookshop.
  • Plans and executes book sales or special Bookshop promotional events.
  • Schedules and oversees the pick-up of donated and de-accessioned library materials by recycling vendors.
  • Maintains records and statistics for the sale of materials.
  • Orders supplies for the Library Bookshop and materials sorting processes.
  1. Supports staff with the planning and logistics of special public and staff events.
  1. Acts as back up to the Administrative Specialists by performing routine, high-priority functions when either are away from the office on leave.
  1. Other:
  • Performs related duties as required to meet the needs of the city of Boulder and the Boulder Public Library.
  • Takes proper safety precautions, anticipates unsafe circumstances, and acts accordingly to prevent accidents.  Responsible for the safety of self, others, materials, and equipment.  Uses all required safety equipment and follows all safety regulations, policies and procedures.  Reports all accidents and damage to city property.
  • Responsible for knowing and complying with all city of Boulder policies; participating in professional training and career development. This is accomplished by self-study, classroom training, and industry seminars and workshops.

This position is a management/supervisory level position. All city supervisors are responsible for understanding and enforcing relevant collective bargaining agreements and management policies; hiring and firing supervised employees  or volunteers or making related recommendations; ensuring employees or volunteers are trained initially and on an ongoing basis, as needed providing appropriate feedback to employees or volunteers by monitoring day-to-day performance; correcting problems with work habits or performance in a timely manner; prioritizing and scheduling work functions; ensuring adherence to established safety standards; ensuring the timely completion and submission of all paperwork required by the city to process employee transactions, insurance or injury claims, etc.; maintaining related records; and ensuring the accuracy of reported time use.

(1) Title of immediate supervisor: Deputy Library Director

(2) Titles of positions over which this position has direct supervision: volunteers

 

REQUIRED MINIMUM QUALIFICATIONS

Bachelor's degree and 3 years of experience in organizing a volunteer program, or any equivalent combination of education and/or experience.  Ability or experience in making public presentations.  Ability to work effectively under minimal supervision.  Courteous and effective communication skills.  Excellent computer software skills including Microsoft Office.

As a leadership position within the Boulder Public Library, the Volunteer Services Coordinator is expected to have and utilize the following competencies:

DESIRED QUALIFICATIONS – In addition to the required minimum qualifications:

Experience with Volgistics volunteer software. Fluent Spanish speaker. Familiarity with Office 365 and website content editing.

WORKING CONDITIONS - Required Physical and Mental Effort, and Environmental Conditions:

Physical and Mental Effort: Sufficient clarity of speech and hearing or other communication capabilities that permits the employee to communicate effectively on the telephone and in person.  Sufficient vision or other powers of observation that permits the employee to review, evaluate and prepare a variety of written documents and materials.  Sufficient manual dexterity that permits the employee to operate computer equipment and other office equipment.  Sufficient personal mobility and physical reflexes, which permits the employee to work in an office setting.  Work may include extended periods of time viewing a computer video monitor and/ or operating a keyboard.  Ability to work under stress from demanding deadlines, public contact, and changing priorities and conditions.

Work Environment: Works primarily in a clean, comfortable environment.  Works in a setting subject to continuous interruptions and background noises.

Machines and equipment used include, but are not limited to the following: Vehicle.  Frequently uses computer workstations, systems management tools, web page update tools, file/print servers, switches, network interface cards, PC cards, CD-ROM’s, scanners, modems and other workstation ancillary devices, telecommunications equipment, photocopy machine, facsimile machine, and calculator.
