Job Description

Position Summary

Reporting to the Curator of Special Collections and Archives, this full time position is responsible for the Special Collection and Archives public services coordination with primary responsibility for the management of the Special Collections and Archives reading room. This includes supervising, training, and evaluating hourly and work-study student employees, scheduling research and instruction appointments for individuals and classes, and scheduling the reference desk to ensure that it is staffed for all hours the reading room is open. This position will provide reference and instruction assistance, assist with patrons, pull and re-shelve collection materials, and the paging, management, and return of archival materials from on and off-site storage. The position will assist the Curator of Special Collections and Archives in identifying materials for purchase in designated collection areas under the guidance of the Curator. This position will work with the other Archival Processor IV to manage ordering of supplies for the unit, including: preparing supply orders, keeping track of supply stock, and working with Curator and the Deans Office/Budget staff to ensure cost effectiveness. The position will assist with the administrative process to transfer the initial intellectual control of collections, and physical processing of collections as necessary. This position also actively participates in library committees and departmental meetings as needed.

Essential Functions

  • Oversees activities at the reading room service desk, ensuring adequate desk coverage and addressing patron concerns.
  • Schedules appointments for individuals and classes for use of collections in the reading room and the instructional spaces managed by Special Collections and Archives.
  • Responsible for the paging, management, and return of archival materials from on and off-site storage that have been recalled for patron use.
  • Responsible for supply ordering and unit budget.
  • Hires, supervises, trains, and evaluates student employees and student timesheets.
  • Estimates the unit’s yearly hourly budget needs, and tracks the hourly budget for current fiscal year.
  • Performs reference service for students, faculty, alumni, and administrative staff and outside researchers using the collection management system and online discovery tools.
  • Ensures that all patron inquiries are responded to within 24 hours/one business day.
  • Assists with the physical and administrative transfer, initial intellectual control, and physical processing of collections as necessary.
  • Responsible for entry and quality control of all statistics compiled by the unit including, instruction, reference/patron use, circulation, and accessions in coordination with Archival Process IV.

Knowledge, Skills, and Abilities

  • Proficiency in the English language.

  • Excellent communication skills, both written and verbal.

  • Basic math skills.

  • Good judgment, problem-solving, and decision-making skills to ensure accuracy in a detail-oriented environment.

  • Ability to recognize and deal with discrepancies between an online record and its physical or digital counterpart.

  • Proficiency in all common office productivity tools, word processing, and spreadsheets as well as utilizing tools both within and external to library and archival systems to batch manipulate and manage content.

  • Demonstrated attention to detail, with an extremely high accuracy rate in all work done.

  • Ability to work collaboratively and cooperatively as a team member.

  • Strong organizational skills.

Required Qualifications

  • High school diploma or GED.
  • Familiarity with online database systems.
  • Experience working with filing systems, administrative records, and other like organizational systems.
  • Public services experience (reference, instruction, outreach, access services, etc.) in an academic library. 

Preferred Qualifications

  • Bachelor’s degree or equivalent combination of education and experience in an office, academic library, or cultural heritage institution.
  • Experience in public services at a cultural heritage institution.
  • Experience with archival collection management software (Archon, ArchivesSpace, etc.).
  • Experience with an Integrated Library System (ILS)/Library Management System (LMS).
  • Understanding of and experience with digital content creation or reformatting projects.
  • Supervisory experience.
  • Foreign language ability.

Work Schedule

Monday - Friday, 8:00 am - 4:30 pm.
