Job Description

Summary: The Circulation Supervisor manages the staff and activities of the Circulation Department at Council Tree Library in order to ensure quality customer service.  Coordinates work with other Circulation Supervisors in the Library District. Provides positive customer service experiences and ensures procedures and systems are established and maintained.

Essential Duties and Responsibilities:  The following duties and responsibilities are illustrative of the primary functions of this position and are not intended to be all-inclusive.

  • Oversees and coordinates all circulation activities within the Council Tree Library.
  • Manages hourly and classified staff to ensure excellent and consistent customer service. 
  • Interviews, hires, and trains employees. 
  • Plans, assigns and oversees the work of classified and hourly staff. 
  • Reviews and approves time sheets. 
  • Schedules hourly, classified and volunteer staff. 
  • Administers financial functions including fines, fees, and charges including deposits and collection agency accounts. 
  • Addresses issues relating to Circulation Department and works with Circulation Supervisors within the Library District to review and revise policies, training and department processes. 
  • Develops, oversees and reviews ongoing projects, and plans. 
  • Evaluates work processes and implements ways to improve workflows within the Circulation Department. 
  • Works closely with other department managers and supervisors. 
  • Disciplines employees including termination and resolves staff issues. 
  • Conducts yearly staff performance evaluations. 
  • Acts as Person In Charge occasionally, handling emergencies as they arise. 
  • May sometimes perform functions of employees supervised. Works with the public to resolve problems and provide service.

Education/Experience:  High School diploma or GED required. Associates or higher degree preferred. Three to five years related experience in office management, retail or Library/Circulation management; including three years of supervision (directing and overseeing the work of others); or equivalent combination of education and experience.

Language Abilities: 

  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. 
  • Ability to write reports, business correspondence, and procedure manuals. 
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.  
  • Familiarity with Spanish desirable.

Reasoning Abilities: 

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Supervisory Responsibilities:  This position is responsible for the supervision of Library Aides, Circulation Assistants, and Library Service Representatives.

Work Environment: Primary work is performed in a busy library environment with most of the work day at a computer station. Extensive interaction with customers while working on multiple tasks. Noise level can fluctuate from moderate to loud.  A Circulation Supervisor is required to work a variety of scheduled hours including days, nights, and weekends as needed. Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  While performing the duties of this job, the employee is regularly required to sit; talk and hear; use hands to handle, or feel.  The demands on the visual sense are extremely high. The employee frequently is required to reach with hands and arms; stoop, kneel, crouch or crawl; climb and balance. The employee is regularly required to stand and walk. The employee must occasionally lift and/or move up to 50 pounds. Push moveable carts loaded to a maximum of 150 pounds. Continuous keyboarding, handling, grasping, and repetitive motions of hands/wrists required.
