Job Description

Summary: Manages the volunteer programs of the Library District. Assesses needs, determines priorities, oversees the recruitment, training, management and support of District volunteers.

Essential Duties and Responsibilities include the following:

  • Recruits, interviews, and places applicants for volunteer work, and conducts their orientation.
  • Identifies appropriate supervising staff for volunteers and coordinates training.
  • Works regularly with District staff to identify volunteer needs and forecast short and long-term demands.
  • Develops diverse, appealing and useful volunteer opportunities that support the District’s needs.
  • Establishes plans, strategies and goals for the volunteers.
  • Recruits volunteers by participating at public events and meetings, makes presentations, distributes recruitment materials, and posts volunteer requests.
  • Markets the benefits of joining the volunteer program.
  • Develops and maintains strong relationships with groups and individuals throughout the community to foster a positive image of the District and make it an appealing volunteer organization of choice.
  • Coordinates with Larimer County regarding volunteer opportunities.
  • Designs and implements a volunteer recognition program.
  • Develops volunteer materials such as applications and surveys.
  • Maintains volunteer records, including maintaining and updating Volgistics, as needed.
  • Compile volunteer statistics and reports.
  • Other duties as assigned.

  • Organizes and prioritizes projects and manages multiple tasks in an effective and timely manner.
  • Organizes own work, sets priorities and meets critical deadlines.

  • Provides excellent customer service to both internal and external customers.
  • Ability to think outside-the-box and embrace new opportunities.
  • Ability to find creative and resourceful solutions to challenges.

  • Knowledge of office computer applications including word processing, spreadsheets, human resource programs (i.e., Volgistics and Verified Volunteers).
  • Excellent recordkeeping skills, employing general office and specialized volunteer management software.

Education/Experience:

Bachelor's degree (B. A.) from four-year college or university; and two or more years related experience; or equivalent combination of experience (4 to 6+ years), plus relevant education, and training. Supervisory experience preferred.

Language Abilities:

Read, analyze and interpret job-related written materials. Write effective and clear reports, business correspondence, procedures, guidelines, volunteer job descriptions and related materials. Present information effectively and respond to questions from volunteers, staff, customers, representatives of other organizations and the general public. Communicate verbally with public, current and potential volunteers, community groups and staff. Train, coach, collaborate, plan and recruit. Possess excellent listening skills and negotiation and mediation skills. Bilingual in English/Spanish or other language is desirable. 

Reasoning Abilities:

Solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Certificates and Licenses:

Volunteer management certification preferred.

Supervisory Responsibilities:

This position supervises District volunteers.

The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus. While performing the duties of this job, the employee is regularly required to sit and talk and hear. The employee is frequently required to use hands to finger, handle, or feel and reach with hands and arms. The employee is occasionally required to stand; walk; climb or balance and stoop, kneel, crouch, or crawl.
