Job Title: Access Services Manager                                      

Department: Schewe Library

Reports to: Library Director

Status: Full Time, Salaried, Exempt

 Summary

Schewe Library seeks an Access Services Manager to ensure that operations related to the circulation of library materials functions smoothly. These operations typically involve work with the library’s book collections, periodical collections, course reserves, and obligations related to our I-Share Reciprocal Borrowing and WorldShare interlibrary loan programs.


The Access Services Manager is additionally responsible for hiring, training, scheduling, and supervising Schewe Library’s student workers. In the Fall and Spring terms, the library employs anywhere from 15-20 student workers, and the Access Services Manager is responsible for ensuring that our student workers provide high-quality and responsive patron service to the Illinois College and surrounding communities. The Access Services Manager is also responsible for ensuring that the library is open at its posted time, and will play an active role in the maintenance of library facilities, the development of policy, and the miscellany of ad hoc tasks which characterize work in a small academic library. Essential Functions

The following list of duties is meant to be representative of the work performed in this position. The omission of a specific duty will not preclude the Access Services Manager from performing it, provided the work is similar, related, or a logical extension of the Access Services Manager’s responsibilities.

Circulation & Collection Maintenance (50%)

  • Supervises all library circulation functions.
  • Maintains the library's physical collections.
  • Monitors functionality of the library’s automated circulation system.
    Processes I-Share materials daily; prepares outgoing materials for courier pick-up; readies incoming I-Share materials for check-out.
  • Shifts books as needed to create more space in stacks.
  • Collaborates with faculty to establish and maintain the course reserves system (including electronic and paper reserves).
  • Prepares and processes circulation reports and statistics.
  • Shelves materials in the absence of student labor.
  • Develops circulation policies and procedures; recommends changes where appropriate.
  • Maintains accounts related to the billing and collection of fines.
  • Houses physical materials.

Student Work Supervision (35%)

  • Interviews, hires, trains, schedules, and supervises student workers.
  • Assigns student workers to perform various tasks, including general patron service, shelf reading, photocopying, printing, and shelving of books.
  • Monitors student worker professionalism, conscientiousness, and proactive working habits; remediates conduct where necessary.
  • Conducts an annual performance evaluations of student workers, and provides recommendations where appropriate.
  • Anticipates student staffing needs, prepares budget projections, and monitors expenditures.
  • Verifies and submits student worker time cards.
  • Ensures that the Circulation Desk is continually staffed.

 Patron Service & Miscellaneous Projects (15%)

  • Provides a welcoming atmosphere and responsive patron service.
  • Helps with library technology, checks out material, receives returned material, and provides basic reference.
  • Responds to inquiries regarding library service, regulations, policies, and procedures.
  • Maintains and updates patron accounts.
  • Opens the library.
  • Helps with WorldShare interlibrary loan program.
  • Orders library supplies.
  • Organizes and creates library displays.
  • Answers the Circulation Desk phone and monitors the general library email account.
  • Produces library signage.
  • Participates in campus and library events as appropriate.

 Required Qualifications

  • Bachelor’s degree (B.A. / B.S.) OR Library Technical Assistant (LTA) associate’s degree.
  • Evidence of strong customer service and organizational skills.
  • Excellent interpersonal skills and a desire to interact with library patrons and student workers.
  • Intercultural competency and the ability to work well with people of diverse backgrounds.
  • Demonstrated ability to communicate well, both orally and in writing.
  • Familiarity with basic computer operations and the ability to use an integrated library system (ILS).
  • Ability to think independently and quickly resolve problems.
  • A willingness to occasionally work non-standard hours to accommodate special events.
  • Must be able to lift and/or move, either with or without assistance, up to 30 pounds.

 Preferred Qualifications

  • (2) or more years of professional library experience.
  • Previous experience supervising students, pages, or other library staff.
  • Experience using the Voyager ILS.
  • Experience with the I-Share and/or WorldShare interlibrary loan platforms.
  • Experience with Microsoft Access and/or Microsoft Excel.
