Job Summary:

The purpose of this full-time, state classified Access Services Specialist is primarily responsible for assisting customers with information needs and instruction on finding and how to use the library’s facilities, technologies, collections and finding tools. Spends a majority of time staffing the information customer service desk and being on-call to assist users in the computer commons of the library. Answers research questions coming in over email/chat through the library’s AskUs reference system providing as needed up to four hours per week of online AskUs coverage. Coordinates the library’s participation in statewide Prospector resource sharing program. Opens the library on Sundays working closely with other weekend staff and student employees and may occasionally open the library on weekdays. Supports interlibrary loan processing (borrowing and lending) over the OCLC and DOCLINE systems as part of the department’s interlibrary loan processing team along with processing requests from Prospector system.  

Examples of Work Performed: 

  • Works the library’s service desk answering questions and assisting library users in person, by phone, or electronically; teaches and instructs customers in use of library catalog, finding journal and article holdings in the collection, and introductory use of databases like PubMed and clinical databases locating evidence-based medical information;
  • Instructs users about library policies and services;
  • Provides circulation, reference and IT/AV support services to library users; covers library’s AskUs reference service up to four hours per week;
  • Provides research assistance to customers using the library’s discovery tools requiring knowledge about resources including services, research guides, article access databases, etc.;
  • Assists users with searches in the library catalog and helps to verify citations, locate books, journals and check library holdings and availability;
  • Instructs patrons about use of public computers and associated equipment such as scanners, printers, AV equipment and associated productivity software on library computers;
  • Assist users in the library with use of technical or multimedia aspects of the facility, to include white board imaging software, microphones, data projectors and flat panel displays;
  • Supports enforcement of library conduct policy and works to monitor and maintain the research and study environment for users per library policies;
  • Reports any facility or security/safety problems to appropriate University parties and library management, building coordinators, etc.;
  • Provides assistance to disabled users as necessary;
  • Supports circulation workflows such as holds, campus delivery of materials, stacks maintenance, tracing and searching for lost materials, overdue and billed item processing, etc.;
  • Support to Access Manager (building coordinator) and Dept. Head (library bldg. administrator) in ongoing spot checking and reporting of maintenance needs to University Facilities.
  • Supports the student employee coordinator co-supervising student workers on Sundays. And other tasks as needed in the absence of the student employee coordinator;
  • Closes the library occasionally as needed, backups up closing of the library when student employees are low/unavailable or regular Sunday closing staff is out; acts as backup opener of library Mon-Thurs;
  • Communicates facility or security problems to appropriate library leaders or may be in direct contact with campus security or campus facilities if problems emerge and supervisor is not available. Is familiar with emergency procedures, safety measures and evacuation plans, etc. 
  • Prospector resource sharing – acts as the library’s primary coordinator of Prospector borrowing/lending service, liaisons with other member libraries, represents and proxies for Access Services at Prospector Document Delivery committee of the Alliance, keeps statistics and keeps library up to date with Prospector procedures and protocols of the system;
  • Hold Shelf/Paging Slips – acts as one of two primary handlers of daily hold & paging slips from customers for print material; reviews and maintains and clears hold shelf;
  • Interlibrary Loan ILLiad workflow – support the Interlibrary Loan unit in Access as needed with receiving and processing document delivery or borrowing requests from University customers through the ILLiad system; acts as ILL lending backup occasionally as needed.
  • May support and assist with reserves whether library permanent reserves or course instructor reserves kept at service desk;
  • Supports user feedback collection and survey of users’ needs and supports the Access Services ‘advertising & assessment’ team; 
  • Participates in library-wide planning on library task forces and/or standing committees;
  • Assists the Access librarians and Access Services Manager with statistical projects;
  • Stacks maintenance and inventory control, shifting projects as needed, coordinator of periodic shelf reading projects by student assistants/volunteers, etc.;
  • Emergency prep support to Admin and library directors

Salary and Benefits:

Hiring Salary Range: $2,831-$3,121 / month (non-negotiable)* 

*The salary offered is usually the minimum listed, however, a salary above the minimum may be offered for some hard to fill positions.

Minimum Qualifications:

Two years of general clerical experience working in a library service area.  

Colorado law requires that candidates for state government jobs be residents of Colorado at the time of application.

College or university course work, appropriate to the work assignment, may substitute for the general clerical experience on a year-for-year basis, but not for the one year of specific experience.

Preferred Qualifications: 

  • Experience working with automated systems, such as:
  • Circulation, interlibrary loan, or information reference assistance and answering diverse array of questions in a library setting
  • Integrated Library Management System (ILS or ILMS such as Innovative, ALMA, Polaris, etc.)
  • Experience instructing library patrons on how to begin library research processes, use of electronic databases, use of computerized catalog systems, the Internet, and print resources;
  • Comfortable and proficient with MS Office suite and other software;
  • Basic experience with event management workflows and services.
  • Undergraduate degree, B.A./B.S. 

Competencies/ Knowledge, Skills and Abilities: 

  • ·         Ability to communicate effectively in oral and written form, which includes the ability to check for typographical, grammatical and spelling errors and document procedures in written form;
  • ·         Beginning to intermediate skills using Microsoft Office applications such as Outlook, Excel (to maintain statistics, data, and information), and Word (to develop, edit and update reports, handouts and correspondence);
  • ·         Proficient with both Windows PC operating system and Apple MAC operating system;
  • ·         Knowledge of utilizing library search tools to search and retrieve information from electronic databases and computer systems;
