Job Description

The School of Law welcomes applications for Serials & Acquisitions Assistant - Library Technician II. This role receives and processes all serials (hardbound, advance sheets, pocket parts, microforms, periodicals and looseleafs) and government documents; completes initial processing of invoices; receives all newly ordered materials; and initiates vendor claims for unreceived materials. Specific duties include: check-in and labeling of all serials and government documents; ensuring bibliographic, check-in, order, and item records are accurate; processing materials for the bindery; supervising student workers; opening, sorting and delivering mail. 

Key Responsibilities:

  • Check in all serials by analyzing bibliographic records in LAWPAC and selecting between similar entries. Decide when and how to edit, create or delete checkin records. 
  • Create item records for individual volumes with correct circulation and location information and label. When unreceived issues of serials are encountered, claim the issue. Keep statistics daily and report them monthly.
  • Receive all newly ordered titles and verify the exact title, choose exact bibliographic record, and edit the order record with correct codes indicating date of receipt, price, and any special handling instructions. Route materials to correct cataloger. Create brief bibliographic records as necessary, and determine if materials should be sent to the bindery.
  • Process and prepare invoices for payment and verify that items on invoices have been received.
  • Perform claims processes at least weekly or as needed. Verify accuracy of the “late” status by researching if the item or issue should have been received. If necessary, claim item from the appropriate vendor using each specific vendor’s procedure. 
  • Process materials for binding: collect and collate issues; annotate Millennium record; create automated bindery records in separate bindery database; pack issues for shipment. Receive shipment monthly: unpack; process on Millennium, including itemizing; supervise endprocessing.
  • Oversee the library’s periodical and superseded collections to ensure that journals are shelved neatly and accurately and current periodical issues are sent to the bindery as necessary. Ensure superseded volumes are itemized and ordered properly in Millennium and are shelved accurately in the Storage room. Maintain superseded tribal codes. 
  • Oversee endprocessing and shelving of all items that are checked in, except looseleafs. Students may perform this work. 
  • Receive government documents: unpack boxes and match items to shipping list; search Millennium and select exact bibliographic record; follow instructions in the record carefully; check in, itemize, and label the piece; and identify new documents not found in Millennium and give them to the documents librarian.
  • Process the library mail daily as delivered. Keep the area neat and clean.
  • Special projects as assigned which might include editing bibliographic records for electronic resources; printing Colorado bills; special inventory projects; assisting with authority control; posting invoices on Millennium; acquisitions assistance; etc.

  • Bachelor’s Degree.  
  • Experience working in the technical services department of a library, especially with serials and/or government documents.
  • Familiarity with or experience using legal materials and/or government documents.
  • Experience using Innovative Interfaces, Inc. (III) library software.
