Job Description

The University of Denver Libraries, comprised of the Main Library at the Anderson Academic Commons, the Bonfils Stanton Music Library in the Newman Center, and the off-site Hampden Center storage facility, is a highly collaborative, team-based organization that serves a diverse population, ranging from our students, staff, and faculty to public and other academic patrons from around the country and the surrounding region. Position Summary

This full-time benefited position reports to the Library Collections Procurement and Processing Manager and is primarily responsible for the management of print approval plan book orders, receiving and processing standing orders, and providing assistance with firm orders for print/physical formats and all associated record maintenance in the Alma integrated library system. This position willingly shares skills and knowledge, participates in the process flow of work of the unit, and receives instructions regarding assignments. The work schedule is generally Monday-Friday with a flexible timeframe within the library’s operational hours and requires in-person work onsite at the Main Library.

Essential Functions

  • 45% Manages the processing of approval plan books orders. Upload batch files of MARC records from approval vendors into Alma. Import order/bibliographic files from OCLC or vendors into Alma. Unpack, receive, and process shipments from approval vendors. Fund and process invoices in Alma. Route books to appropriate shelves for cataloging or processing. Trouble-shoot and resolve problems related to the approval plan process. Update records in Alma with status reports from approval vendors and add special request notes from selectors. Return duplicate and defective material. Communicate with selectors, staff, and vendors regarding orders.
  • 25% Order and receive standing orders and Special Collection materials, which involves the following: search in the library catalog for duplication, create vendor records, create or import temporary bibliographic records and attach order records, unpack and receive materials, and process invoices in Alma for standing orders. Route materials to appropriate location for cataloging. Return duplicate and defective material. Communicate with selectors, staff, vendors, and publishers regarding orders.
  • 20% Assist with ordering print materials requested as part of library-sponsored projects (e.g. ULA or New Faculty Library Fund grants). This includes searching the library catalog for duplication, selecting appropriate vendors, creating or importing temporary bibliographic records, and creating order records. May also assist colleagues in the unit with ordering requested materials as needed, including labelling and receiving materials, and processing invoices in Alma.
  • 10% Provide back-up assistance in the process of daily check-in of serials of all types. This involves the physical processing of materials checked in, funding and submitting invoices in Alma, and maintaining the accuracy of the catalog by updating library holdings and performing a variety of database maintenance tasks, including paying attention to arrival dates of future issues as well as frequency or title changes.

Knowledge, Skills, and Abilities

  • Strong interpersonal and communication skills and the ability to work collaboratively and cooperatively as a team member.
  • Basic math skills; ability to maintain accurate and thorough statistics on work performed.
  • Good judgment, problem-solving, and decision-making skills are needed to provide practical solutions, and to ensure accuracy in a detail-oriented environment.
  • Familiarity and experience with computers in a Windows networked environment.

Required Qualifications

  • High School diploma or GED

Preferred Qualifications

  • Previous library experience preferred, particularly in technical service.
  • Familiarity with automated library computer systems, Alma in particular; familiarity with bibliographic records;
  • Familiarity with spreadsheet applications such as Microsoft Excel or Google Sheets.
  • Ability to follow established procedures; ability to organize and prioritize; superior attention to detail.

Working Environment

The work environment is an academic library, which is culturally diverse. The unit is highly automated with attention paid to ergonomics and safety, using workstations equipped with easy access to needed resources and access to the Internet. The unit is one of several working collaboratively and cooperatively in a team-based organization.

  2. Unexpected interruptions occur often and stress level is moderate to high.
  3. Noise level is quiet to moderate.

Physical Activities

  1. Ability to sit in front of a computer for an extended period of time.
  2. Must be able to lift and move books; and move heavy book trucks from one area to another.

Monday - Friday, 8:00 a.m. - 4:30 p.m.
