Job Description

Under general supervision, to provide library patrons with a high level of customer service and program, event and outreach experiences, to develop and foster community relationships that will increase the appeal, attendance and overall customer satisfaction of library programs and events; to perform related duties as required.  The Programs, Events and Outreach Specialist is charged with modeling quality customer service behaviors which align with the library customer service model and City values.

DUTIES AND RESPONSIBILITIES: 

  1. Under the direction of the Programs, Events & Outreach Manager, plans, develops, schedules and implements informational, educational, cultural and literary events, programs and outreach for the library.  This includes but is not limited to:
  2. Designing and producing necessary materials; obtaining and organizing supplies; scheduling meeting space.  Provides support for programs by preparing the space, introducing performers or leading the program.  Assisting with the implementation and administration of the Summer Reading program and operating the Book Bike.
  3. Works closely with staff and community partners to coordinate events in a timely and cost-effective way.
  4. Coordinates program and event logistics with facility maintenance and information technology staff; oversees set-up and take-down of programs and events.
  5. Processes event calendaring, meeting room/theater applications and schedules them in the library’s online calendar.
  6. Contributes to marketing and public information for the Library.  Works closely with programming, communications and public services staff to ensure adequate publicity for scheduled programming.
  7. Maintains accurate records and collects statistics. 
  8. Provides input for program event costs.
  9. Schedules substitutes for events in theater.
  10. Acts as a liaison with local groups and community partners including conducting general tours of library.
  11. Coordinates and liaisons with program, events and outreach staff and volunteers to support successful implementation of programs.  Keeps track of current and upcoming exhibits and programs.  Works with programming staff to ensure a well-balanced and diverse schedule of events.
  12. Organize, stock, and order visitor and library information displays throughout Main library.
  13. Assists with the development of Boulder Public Library Foundation funding requests and other grant applications for program and event funding by coordinating with library and arts staff members to collect information and prepare written requests and reports.
  14. Trains auditorium and meeting room users in the use of audio-visual equipment.   Contacts substitutes to support theater programs.  Operates equipment including photocopier and scanner, computer, audio/visual equipment and book bike.
  15. Responsible for monitoring the activities of library patrons and staff to ensure compliance with library rules of conduct at library locations, often in the absence of a manager.
  16. Creates informative and visually   pleasing displays for the public’s viewing.  May be asked to schedule and coordinate monthly exhibits for library display spaces.
  17. Others:
  • Performs related duties as required to meet the needs of the city.
  • Takes proper safety precautions to prevent accidents.  Responsible for the safety of self, others, materials and equipment.  Uses all required safety equipment and follows all safety regulations, policies and procedures.  Reports all accidents and damage to city property.
  • Responsible for knowing and complying with all city and department policies; participating in professional trainings and development; and adhering to attendance and workplace attire policies.

MACHINES AND EQUIPMENT USED IN WORK INCLUDE, BUT ARE NOT LIMITED TO, THE FOLLOWING:

Personal computer, audiovisual equipment, theater sound system, telephone, photocopier, printers.

REQUIREMENTS:

Bachelor’s degree or equivalent experience in programs, events and outreach services.  Interest, desire and ability t o communicate courteously and effectively with and provide services to others, including the public, both in person and by telephone.   Familiarity with personal computers and appropriate software.  Ability to consider public interest and Library mission when making performer and programming recommendations and/or selections.  Good analytical skills.  Excellent organizational skills.  Ability to arrange and schedule multiple events simultaneously.  Pleasant, effective, and diplomatic manner in dealing with the public, performers, and press/media.  Excellent written and oral communications skills.  Willingness and flexibility to work a schedule that may include evenings and weekends. Ability to work with a minimum of supervision.  Have and maintain acceptable background information, including criminal conviction history.

DESIRED QUALIFICATIONS:

Extensive customer service experience.  Extensive knowledge of adult, child and family educational and performance art opportunities in the Boulder area.  Experience with scheduling, coordinating, contracting and promoting varied programs and events.  Spanish language proficiency preferred. 

WORKING CONDITIONS - Required Physical and Mental Effort, and Environmental Conditions:

Physical and Mental Effort: Partially sedentary, partially standing and moving, physical work in indoor and outdoor settings, requiring the ability to lift a maximum of 25 - 30 pounds; occasional lifting, carrying, and walking. 

Pushing up to 300 pounds. Ability to operate the book bike.

Sufficient manual dexterity that permits the employee to operate computer equipment and other office equipment.  Sufficient vision or other powers of observation that permits the employee to review, evaluate and prepare a variety of written documents and materials.  Sufficient clarity of speech and hearing or other communication capabilities that permits the employee to communicate effectively on the telephone and in person.  Sufficient personal mobility and physical reflexes, which permits the employee to move throughout the work environment and work in an office setting.  Work may include extended periods of time viewing a computer video monitor and/ or operating a keyboard.  Ability to work under stress from demanding deadlines, public contact, and changing priorities and conditions.

Work Environment: Works primarily in an indoor office environment.  Works in a setting subject to continuous interruptions and background noises. Outreach and programming may include staffing events outdoors including operating the book bike. 

Machine and equipment used in work include but are not limited to the following:  Frequently uses standard office equipment including personal computers, calculators, Canyon Theater A/V system, VCR/DVD player, video projector, telephone, copy machines, barcode and computer printers, eBook readers, digital cameras, and various audio-visual equipment.
