Job Description

Records Management Internship
Colorado Department of Transportation, Office of Policy and Government Relations
This is a paid, non-benefitted, internship with the option of working up to nine months.
$15.87/hour, 20 hours a week.
There are potentially multiple internships available, depending on the caliber of applicants. 

Description of the job

The purpose of this part-time internship is to provide meaningful records management experience to collegiate students (or recent graduates) with proven academic performance and a strong desire to learn and contribute. The Office of Policy and Government Relations is currently working to develop a robust and sustainable Records Management Program. The interns who fill this position should expect to gain hands-on experience of basic records management processes such as implementing retention schedules; classifying, storing, and dispositioning records; developing program processes; and working with the Official Records Officer to send historical materials to the State Archives.

Responsibilities:

  • Process records collections.
  • Create indexes for each collection.
  • Under guidance of the Official Records Officer, determine which records collections are eligible for destruction, which collections need to be retained, and which collections would be considered historical.
  • Work with the CDOT Records Officer to determine which level of processing will take place for a collection (ex. box level, folder level, item level).
  • Assist the Official Records Officer in defining records processes (ex. records destruction process, the process for sending records offsite, microfilming process, the process for sending historical records to the State Archives.
  • Disposition records, send records to offsite storage, and/or send records to the State Archives.
  • Data entry, scanning physical records and storing them electronically, sending records collections out to be microfilmed.

Locations and Work Environment

Employee will be expected to report to work at three different locations in the Denver Metro area:

  • CDOT Headquarters, 4201 E. Arkansas Ave, Denver, CO 80222
  • CDOT Region 1 Headquarters, 2000 South Holly Street, Denver CO 80222
  • CDOT Region 1, KOA Building, 18500 East Colfax Ave, Aurora CO 80011

The bulk of the work performed will be located in file rooms, records storage areas, and “cold storage” units.
