Job Description

The Executive Assistant (EA) supports the work of the Vice Provost and University Librarian (VPUL) and provides executive-level administrative support to the VPUL. The EA participates in decision-making as part of the Libraries Administrative Team, and serves as liaison between the Libraries and a wide range of individuals and organizations both on and off-campus to advance the goals of the department. This position requires someone who is able to work in a team environment as well as independently. This position will manage complex issues that accompany advancing the VPUL's strategic plan and the libraries and university mission, which includes preparing written and verbal responses to routine inquiries and triage of confidential email. The EA uses independent judgment and decision-making skills to support the work of the VPUL. The EA provides executive-level administrative support by maintaining the VPUL’s calendar, assisting with communication and information flow (including sensitive and confidential material), and coordinating projects, programs, and events critical to the mission and work of the Libraries. This position reports to the Associate VPUL for Central Services.

The EA is a vital member of the VPUL’s administrative team and must exhibit professionalism, collegiality in a team environment, and the ability to create a welcoming and professional atmosphere in the office. This person must be culturally competent, with the ability and commitment to work with individuals from diverse backgrounds. This position regularly interacts with the Libraries faculty, staff, and key university partners. The EA must exhibit a high level of sensitivity, confidentiality, cultural awareness, and have the ability to work independently, anticipate problems, demonstrate sound judgment, and exercise creative problem-solving. This position regularly requires the exercise of independent decision-making and interpreting, communicating, and applying policies and procedures in performing daily duties.

Minimum Requirements
• Bachelor’s degree in a related field (e.g., communication, business, etc.) or an equivalent combination of skills, experience, and education
• Three years of office and project management experience of increasing responsibility, including serving as team lead on projects
• One year of experience providing confidential executive support for a department head, dean, or an executive at an equivalent level
