Job Summary

The Center for Research Data and Digital Scholarship (CRDDS) encourages applications for an Events and Scheduling Coordinator! The Events and Scheduling Coordinator provides comprehensive support for CRDDS through community engagement efforts, logistical and administrative support of events, and by providing administrative support of our educational efforts. In this role, you will report directly to CRDDS leadership but interact with a wide range of staff, faculty, students, alumni, and community members. Your work will often involve essential tasks with a variety of campus and community individuals and will require active problem solving and effective interpersonal skills.

What Your Key Responsibilities Will Be

Community Engagement

  • Create outreach plans and make direct connections with researchers, departments, institutes, and programs to promote and inform the center’s offerings (e.g., graduate seminars, student orientations, faculty meetings), including nontraditional and underrepresented groups.
  • Develop and assess outreach plans using standard methodologies in academic community engagement.
  • Adjust plans and procedures after analysis to continually expand and improve the center’s offerings in response to campus feedback.
  • Work closely with center leadership, staff, and external partners to promote awareness of the center to campus partners.

Event Support

  • Coordinate logistical aspects of CRDDS events throughout the year, including scheduling, arranging for catering, room reservations, maintaining information about trainings, participant registration, and overseeing related mailings. Decision making and independent judgement required in relation to marketing assistance and creating CRDDS events.
  • Add events, announcements, workshops and consulting hours to the calendar. Events include, but are not limited to talks, “brown bags,” consultation hours, workshops and short courses, and larger welcome events or partnering events which include faculty, staff, students, retirees, business partners, community members and donors.
  • Determine, write, communicate, implement, and enable policies and procedures for CRDDS event support.
  • Ensure the effective delivery of online events by supporting virtual presence (including support of the center website).
  • Serve as the main point of contact for event organizers/CRDDS Directors.
  • Coordinate events with the Library Events Coordinator and the Research Computing assistant.
  • Assess user needs and center offerings through identification and collection of data. Use this data along with outreach strategy to iterate and improve events.

Center Administration

  • Manage the CRDDS virtual help desk by triaging email questions to the appropriate director.
  • Post and approve events in multiple calendaring systems, including the campus calendar and LibCal, and coordinates CRDDS listserv.
  • Post weekly event calendar and liaise with building management in Norlin Library.
  • Serve as liaison between CRDDS and the Communications Manager to coordinate content, design, and production for events, exhibits, signage, and websites.
  • Manage content on the CRDDS website and the CRDDS digital sign(s), incorporating content from other members of the CRDDS team.

Room Scheduling

  • Approve room reservation requests for CRDDS room booking and approves CRDDS room reservations using Outlook.
  • Responsible for oversight of the room, making sure the room is in an acceptable state, and working with facilities management to ensure the room is clean and set-up appropriately.
  • Manage key access and ordering for the room.

Faculty Support/Certificate Program Support

  • Assist with supporting graduate faculty appointments and certificate program implementation for CRDDS.

What We Can Offer

The salary range for this 50%, 1/2 time position is $21,600 to $23,000. This is a fully-benefitted position.

What We Require

  • Two years of experience in an occupational field related to the work assigned to the position. Appropriate education will substitute for the required experience on a year-for-year basis.
  • Colorado residency.

  • Proficiency with Microsoft Office products, particularly Outlook.

What We Would Like You To Have

  • Experience coordinating events, including outreach, catering arrangements, and room reservations.
