Job Description
- Finalize orders by using the YBP GOBI interface. Run searches in local catalogs and complete order processing for new monographs. For materials not available from YBP, coordinate with the Collection Services Librarian to potentially place orders through vendors or directly from the publisher.
- Process all newly received titles. Verify the exact title, choose the correct bibliographic record, and edit the order record with accurate codes to indicate date of receipt, price, and any special handling instructions. Route materials to be cataloged and create a brief bibliographic record as needed. Select original OCLC bibliographic record when required.
- Process invoices from vendors. Identify order records through Millennium ILS and verify receipt of all items on invoices, compute price changes, and check to see if prior items have been received when appropriate. Work with Serials Technician to identify missing items and process claims.
- Perform claims and correspond with vendors. During the invoice preparation process, identify materials not received by the library and begin the claims process. Notify the Collection Services Librarian of any problems, and contact vendors to resolve issues with shipments or account information. Return items to vendors when needed, maintain vendor contacts list, and carefully annotate actions throughout the process.
- Special projects as assigned. These might include: supporting mail handling and invoice entry in campus system; placing orders with vendors for regularly ordered materials; assisting Serials Tech with claims; special inventory projects.
