Job Description

Wage: $2,434.40 - $2,980.80 Biweekly

Job Type: Full-Time

Closing Date: 4/25/2022 or until filled

Purpose:  The Materials Handling Supervisor facilitates and helps develop consistent materials handling processes across Douglas County Libraries (DCL) including processing library materials, manually or using automated handling equipment; shelving and retrieving library materials, and straightening and reading shelves. This position ensures that expectations of consistent service delivery across the district are met, builds and coaches an effective Materials Handling team, and evaluates workflows and identifies efficiencies in staffing and service delivery. This role works as an effective member of the Customer Experience team, and on cross-departmental teams in cooperation with other professional staff.  The role requires considerable systems thinking, excellent attention to detail, and a talent with working with people and building effective teams.

Essential Duties and Responsibilities:

30% Leadership: 

  • Serves as a member of the branch leadership team and as a leader for the district in order to advance library services in Douglas County.
  • Actively participates at DCL library leadership meetings.
  • Cooperatively work with the Materials Handling Manager to communicate and implement DCL strategies and goals.
  • In conjunction with the Materials Handling Manager, conducts hiring interviews and makes hiring decisions.
  • Establishes goals for overall efficiency of materials handling in the Department consistent across the district for the materials handling team in cooperation with the Materials Handling Supervisor team.
  • Serves as Person-In-Charge on an as-needed basis in coordination with other branch leaders.
  • Works collaboratively with leadership staff throughout the district to make continual progress fulfilling the strategic plan and other organizational goals.
  • Participates in library-wide planning and decision making as a member of the library management team to improve the quality of library services.

40% Supervisory Responsibilities:

  • Recruits, interviews, hires and trains new department staff.
  • Monitors and develops employee performance, including delivering recognition and constructive and timely feedback.
  • Recommends salary increases, promotions, transfers, or terminations.
  • Handles discipline and terminations in accordance with organizational human resources practices.
  • On call in crisis situations.
  • Ensures that team consumes, understands, and effectively utilizes organizational communication.
  • Provides direction, support, feedback, and leadership to direct reports.
  • Ensures team brand compliance and excellent internal and external customer service in interactions with customers and staff.
  • Ensures that team aligns with organizational goals and values.
  • Regularly meets and spends time with staff to ensure an appropriate level of performance and offer an ongoing opportunity for feedback and professional development.
  • Promptly approves timecards and time off requests.
  • Performs the role and responsibilities of the manager in a backup or supportive role as needed.

20% Department Operations:

  • Monitors sorter operations and coordinates repairs and updates with Facilities and IT.
  • Coordinates with Collection Services to support courier duties and to resolve material issues.
  • Proactively handles change management initiatives and works collaboratively both within the branch and DCL.
  • Plans and facilitates staff meetings. Attends meetings and participates in committees and task forces as assigned.
  • Ensures materials handling team understands and adheres to DCL policies and procedures.
  • Assists the Materials Handling Manager in preparing and maintaining yearly budgets for the material handling team.
  • Manages, plans and oversees the workflow of all materials handling functions. Monitors workload of staff and facilitates completion of tasks.

10% Continuous Process Improvement:

  • Fosters a culture of innovation and continuous improvement. Looks for efficiencies and ways to improve the customer experience.
  • Utilizes user data and workflow evaluations to judiciously make changes to team processes, priorities, and staffing.
  • Clearly communicates directives to team and drafts processes and procedures as needed.
  • Ensures branch team understands and adheres to DCL policies and procedures.
  • Learns new technology that is introduced in the industry and the organization, as needed.

Performs other duties as assigned.

Required:

  • Three years’ experience in libraries
  • One year of supervisory experience
  • Bachelor’s Degree
  • Knowledge and use of computers, Microsoft Office Products, information databases, and learning software

Preferred:

  • Leadership and customer service experience
  • Master’s degree.

A combination of experience and education will be considered.

Physical Requirements:  Must have the physical ability, stamina, mobility and manual dexterity to support a 7-day a week operation. Stand, walk, bend to floor level, reach to a height over 70 inches, and read a minimum 8 point font, repetitively for extended periods. Handle materials, push/pull loads with a force of up to 35 pounds, carry 15 pounds, lift up to 35 pounds, and grip up to 15 pounds, repetitively. Kneel, squat, climb, and work at a computer workstation, frequently. Participate in meetings and events at various locations and at varied times throughout the day.
