Job Description

JOB PURPOSE:

To perform bibliographic searching to order books, bulk loading, and other monographic materials.  Order various formats of materials from established vendors; receive print and electronic resources library materials; load, receive, verify records for the Libraries Popular Reading collection, verify access, and activate ebooks orders.  Verify, approve, and post invoices in the Library system.  Resolve issues by communicating with vendors and/or selectors under the guidance of colleagues.  Copy catalog all formats of gifts and purchased materials.  Participate in library projects as assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Receive orders from selectors. Preorder search to avoid duplication of materials.  Place orders with established vendors either with purchase orders or a procurement credit card. Determine the best vendor for lost book replacements.
  • Receive shipments from vendors.  Unpack boxes, verify the condition, and match to invoice.  Receive in the library system.  Authorize invoice for payment.  Enter invoices and procurement card purchases in various accounting systems, post invoices in Sierra, and transfer them to the accountant.
  • Using established programs, bulk loading of MARC records for new orders, and updates to various databases.
  • Activate and verify access to purchased electronic books in Intota.
  • Copy cataloging of library materials.  Edit cataloging record to accurately reflect the items being cataloged, following local and national standards.  Responsible for processing all withdrawals, call number errors, and transfers of materials.
  • Load records, receive, return, and maintain McNaughton book titles.  Work with the coordinator of the program to resolve problems or make changes.

MINIMUM QUALIFICATIONS:

To be considered for this position please address all minimum qualifications in your application materials.

Education:  Associate’s degree or equivalent combination of work and experience

Experience:  1-year work-related experience in a library, office, or similar setting

Required education, licensure, certification, registration or other requirements: 

  • Experience entering and searching information in a database.
  • Excellent interpersonal skills.
  • Demonstrated ability to learn new software and applications.
  • Basic computer skills.
  • Demonstrated attention to detail.

DESIRED QUALIFICATIONS:

  • Experience using Sierra or other integrated library systems.​​​​​​
  • Experience with bulk loading and/or editing MARC into an integrated library system.
  • Basic knowledge of library filing and cataloging systems such as RDA standards and OCLC.  
  • Experience with MS Excel.
