Job Description

Job Overview:

The Library Assistant for Acquisitions performs a variety of acquisitions and collection maintenance duties using established procedures and accessing applicable online tools. Ensures that materials selected for purchase are ordered and invoiced accurately; and maintains records and documentation for review as necessary. Performs related duties as required.

Essential Functions:

1. Technical Service Support. 

● Using a high level of accuracy and expertise, applies EDI procedures for ordering and invoicing; processes all EDI invoices and creates electronic invoices for materials ordered directly from a vendor, or for which EDI protocols have not been established. Monitors and maintains actions taken on individual order records to ensure that encumbrances and expenditures are fully and accurately tracked and recorded in the ILS acquisitions system. 

● Stores and loads files of brief and full MARC records supplied by vendors. In the absence of an existing MARC record, creates a brief bibliographic record direct to the library’s local system. If needed, creates local, online order records to accurately reflect ordering details for new library materials. Requires ability to quickly learn and master unique and variable electronic ordering procedures for multiple vendors in an ever-changing electronic ordering environment. 

● Monitors purchase alerts reports and orders extra copies of items in demand. 

● Track and maintain status of materials obtained by standing order, creating or editing existing order records to accurately reflect history of orders and receipts; receive and distribute these materials, supplying necessary routing information for other Resource Services staff to correctly process and catalog them.

● Routes materials to cataloging for addition to the collection. 

● Serves as a collection development resource making judgment decisions on whether to reorder materials.

2. Documentation & Implementation. 

● Creates and maintains clear documentation and reports of and on library tools, processes, and systems. 

● Provides excellent customer service in person, online, or by phone to both internal and external customers.

3. Professional Learning:

Stays current with library platforms, tools, and technologies. Attends library conferences and workshops that relate to duties as authorized or recommended by the IT & Technical Services Manager, Director or Technical Services Supervisor.

4. Additional Duties and Responsibilities 

● Assists in writing and updating library procedures and maintains documentation on acquisition processes. 

● Assists with special projects. 

● Serve as a back-up for interlibrary loan and cataloging. 

● Attends library conferences and workshops related to duties as authorized. 

● Perform other duties and responsibilities as assigned. 

Supervisory Responsibility:

None. Cross-department coordination, training, and support expected. 

Education and Experience Required:

● Requires a two-year college degree or equivalent coursework. 

● Two years of library experience required.

Knowledge, Skills and Abilities:

● Knowledge of acquisitions and basic cataloging procedures. 

● Attention to detail. 

● Use of word processing and other office software products to create documents, letters and memos and to produce lists, labels and simple spreadsheets. 

● Adept at computer, Internet, and photocopier use. Able to learn how to use other technologies. 

● Demonstrated ability to think logically, exercise initiative, and act in the best interest of the library. 

● Effective at working with a wide range of constituencies. 

● Good oral and written communication and social skills

Work Environment:

Physical Demands: Position requires sitting at a work desk for extended periods. The job requires stooping, bending, squatting, stretching, and pushing carts with books. Ability to lift up to 25 pounds may be required. Required to use motor coordination with finger dexterity (keyboarding, shelving), eye-hand coordination, data entry and computer use for accessing information. Should be conscious of appropriate ergonomics and workstation setup. Work environment: Professional and service-oriented work environment, open to the public throughout the week including nights and weekends.
