The Business Support Assistant provides information and delivers excellent customer service to callers, visitors, and staff for the City of Littleton’s Bemis Library.

The Business Support Assistant functions as a main point of contact and information for both internal and external customers.  This role will greet and assist visitors to Bemis library - in person, via phone, and over email.   The Business Support Assistant will coordinate volunteer staff, run errands, update the library’s intranet page, organize calendars and schedules meetings for library staff, patrons and volunteers, as well as counting and reconciling the daily cash totals using Excel.   This role is a multifaceted and busy position that acts as the backbone for the administrative duties of the library.

The ideal candidate will have excellent customer service skills with both internal and external customers. A self-starter, the ideal candidate will take initiative to find and complete tasks.  Successful candidates will be organized and detail oriented, always completing tasks with a focus on first-rate service.    Experience coordinating a large and active volunteer base will help the ideal candidate succeed in this role.

Starting pay at or near $19.22 per hour

This part-time position is non-exempt per FLSA and is eligible for overtime compensation.

Work Schedule:  This part-time position works 35 hours a week Monday through Friday.  This role is an onsite, in person position at Bemis Library.  This role will not have an option for telework.

Essential Duties & Responsibilities

  • Greets visitors and provides information about the department and/or City of Littleton
  • Responds and assists visitors or staff in emergency situations by following written procedures.
  • Counts daily cash receipts and prepares cash register drawer for daily use; enters daily receipts in financial software and related Excel spreadsheets.
  • Prepares reports, files, legal documents or memorandum.
  • Collects library statistics and prepares reports at direction of Library Director.
  • Observes and follows established City and department policies and procedures in the daily conduct of the job.
  • Performs other similar assignments and projects as required.
  • Answers phone and provides information and directs calls to appropriate divisions.
  • Reviews invoices and inputs required data from invoices into related Excel spreadsheets.
  • Opens, organizes and sorts Friends of the Library and Museum membership applications; checks for required information and payment; contacts members to request missing information and payments. Coordinates with Friends of the Library and Museum treasurer on receipt of payments.
  • Serves as volunteer coordinator with responsibilities including application processing, coordinating background checks, routing to appropriate division, tracking volunteer hours, reporting, and maintaining volunteer database.
  • Coordinates volunteer appreciation days
  • Edits and updates content to the library’s HUB (intranet) page and the library’s Open Cities website including calendar events, webpage edits, and creating forms. Schedules meeting rooms for outside groups, staff meetings and programs; screens outside groups and relates rules and policies; manages meeting room application forms; schedules rooms using calendars; and sends confirmations via email.
  • Runs daily errands to City Center; transports external and internal mail; transports cash and deposits to Finance Department and initials Finance receipts; runs errands to other locations as needed.
  • Works with administrative volunteers and oversees their job tasks of answering the phone, transferring calls, and performing alphabetizing and light clerical duties.

Minimum Qualifications

  • Requires high school diploma or equivalent; and
  • A minimum of one (1) year previous work experience in a customer service and administrative support related position with excellent interpersonal skills or;
  • An equivalent combination of education, training and work experience that produces the knowledge, skill, and ability to perform the essential duties and responsibilities of the position.
  • Must be able to pass a pre-employment criminal background check.

PREFERRED QUALIFICATIONS:

  • Bilingual skills and ability to speak, read and/or write fluently in both English and Spanish.
  • Experience working with volunteers
