Friends & Foundation Associate
Role: Assists the Foundation Director with administration of High Plains Library District Friends & Foundation for the High Plains Library District.
Major Duties and Responsibilities:
25% - DEVELOPMENT SUPPORT - Actively works with the Foundation Director and Development Coordinator to identify and prioritize short and long term funding, and to identify and rate fund raising prospects; plans and initiates strategies to procure financial support through private businesses, foundations and corporations; compiles new community and corporate engagement activities related to special events in order to raise funds; receives inbound inquiries to the Foundation and directs them as appropriate; maintains mailing lists for direct mail, social media and other communications; assists with Foundation messaging in print, broadcast and digital media. 25% - VOLUNTEER SUPPORT- Actively works with the Foundation Director and library staff to support the Friends Volunteer Program. Reviews volunteer request forms, drafts volunteer descriptions, posts volunteer opportunities, routes completed applications in accordance with Friends & Foundation procedures, ensures that all volunteer information is stored correctly and updated in database on a regular basis and ensures that volunteer onboarding needs are met. Works with the Foundation Director and Development Coordinator on volunteer recognition. (Essential)
15%- EVENT ASSISTANCE – Assists in planning and implementation of all fundraising, volunteer and donor events. (Essential)
15% - GRANT ASSISTANCE – Researches and prepares specific data for use in grant proposals; assists District staff in grant proposal process; supports Foundation Director with administrative tasks related to compliance, generating grant documents, tracking grant progress, maintaining grant records, mailing grant agreements and grant checks, and submitting grant reports; identifies and improves grants management processes and increases efficiencies. (Essential)
15% - CLERICAL ASSISTANCE - Maintains funding and volunteer records through data entry, payments, reports and proposals for distribution; processes disbursement requests; records and acknowledges all incoming donor gifts using a Donor Management System, miscellaneous contributions, checks and receipts in compliance with state and federal laws, fact sheets and grant guidelines; maintains proper records for accounting purposes in the absence of the Foundation Director. Prepare distributes meeting materials, takes minutes at Foundation Board of Directors meetings, work sessions and management meetings; formats minutes for distribution; identifies decisions made, and routes minutes; makes room arrangements and sets up refreshments in order to provide meeting support. Assists the Foundation Director and Development Coordinator with clerical duties as assigned. (Essential)
5% - OTHER DUTIES – Assists with VISTA Volunteer and Interns as they are available to the Foundation; other duties as assigned. (Non-Essential)
Minimum Requirements:
Education:
Associates Degree
Experience:
Minimum of two years’ experience in similar position
Or any equivalent combination of education and experience that provides the critical success factors.
