Job Description Summary:

Under the general supervision of the Public Services Manager, the Library Resources Manager for Boulder Public Library (BPL) oversees the coordination and delivery of shared system-wide resources for both the main library and for the library branches. The collaborative system-wide coordination of staff schedules, security services, and other shared resources helps to continuously improve library operations and enhance the library’s ability to provide a top-notch customer experience. This role works as an effective member of the Public Services division leadership team and the Patron Services team to ensure smooth library operations. 

This position ensures that system-wide resources are efficiently and consistently shared for service delivery across the system, liaises with security contract services, builds and coaches one direct report as well as supports other managers and division staff to oversee the library’s public services substitute program, coordinates building maintenance requests for the Main library, and evaluates workflows and identifies efficiencies in staffing and service delivery. Work is performed with considerable independent judgment and initiative.

Job Description:

DUTIES AND RESPONSIBILITIES:

Manages system-wide scheduling

  • Coordinates staffing and desk schedules in collaboration with other Public Services managers to ensure adequate frontline coverage.
  • Creates, publishes, and maintains public service  staff schedules
  • Responds to and resolves requests for leave and/or off-desk time in coordination with work group supervisors.
  • Uses scheduling software to share system-wide schedules and inform workgroups of desk coverage.
  • Encourages a culture of cross-workgroup coverage and flexible scheduling to ensure adequate coverage at all locations and to boost cross-training and increased communications.
  • Informs library leadership on feasibility of operating hour changes based on available staffing resources.
  • Stays informed on new and innovative scheduling tools and resources.

Supervises Library Community Connector

  • Recruits, hires, trains, and develops Community Connector position, which focuses on connecting patrons experiencing homelessness with appropriate community resources. Holds employee accountable to effectively work with library team, solve problems, prioritize customer service, and embrace continual growth. Actively plans for succession.
  • Works as part of a team to implement projects and priorities in conjunction with report that aligns with library priorities and master plan objectives.
  • Clearly communicates directives to direct report and drafts processes and procedures as needed.
    •      For this position: takes ownership of the customer experience; embraces innovation and experimentation; and finds new ways to create connections with the community and work with city and community partners.
    •      Monitors and develops employee performance, including delivering constructive, timely feedback, coaching, providing opportunities for professional development, and completing mid-year and end-of-year performance reviews.
    • Handles discipline and terminations in accordance with organizational human resources practices.

Oversees Library Specialist substitutes, in coordination with other Public Services managers

  • Coordinates timing and logistics for substitute hires and assists with training and on-boarding.
  • Works with library supervisors to develop and evaluate substitute performance to ensure their work conforms with customer service and team expectations.

Liaises with security contract services

  • Functions as the library’s main point of contact between the department and the onsite security supervisor or lead security guard.
  • Assists contractor with library-specific training and orientation.
  • Communicates with contractor on scheduling/location needs and provide training/performance feedback.
  • Works with library managers to coordinate and advise library and contractor on security topics related to enforcement of library rules of conduct and security services personnel.

Demonstrates leadership in library operations

  • Actively participates at meetings and in committee work; works collaboratively to make continual progress toward realizing the workplan goals and improving the quality of library services.
  • Exemplifies attentive onsite leadership by modeling quality customer service behaviors which align with the library customer service model and city values and works desk up to 20-25% each week.
  • Leads with enthusiasm and excitement for providing a premium customer experience and creating a vibrant library.
  • Serves as Manager-on-Duty in coordination with other managers.
  • Fosters a culture of innovation and continuous improvement. Looks for efficiencies and ways to improve the customer experience.
  • Maintains appropriate time management related to organizing and prioritizing work including e-mail management, returning phone calls, and other general administrative duties.

Coordinates and deploys shared system-wide resources

  • Coordinates building maintenance requests for the Main library with managers and supervisors, submits requests, and communicates with the Facilities team as needed.
  • Oversees library systems safety equipment, including ordering new and replacement equipment and supplies.

Performs related duties as required by management to meet the needs of the City.  Takes proper safety precautions, anticipates unsafe circumstances and acts accordingly to prevent accidents.  Responsible for the safety of self, others, materials and equipment.  Uses all required safety equipment.
