Job Description

STAFF ACCOUNTANT

(FULL TIME 35HRS/WK)

This position is expected to work collaboratively with the Controller and Chief Operating Officer to maintain all functions of the Finance Office and assist HR with payroll processing.  

Primary Duties & Responsibilities: 

Payables/Receivables/Financial Duties

  • Cut checks in our financial management system, Quickbooks.
  • Process all incoming mail/packages for the building and mail out bills and mail/packages from other departments. 
  • Communicate with vendors regarding payables and receivables.
  • Check payables for accuracy and enter them into the system.
  • Daily cash flow updates
  • Bank reconciliations and filing. 
  • Process and make both physical and remote bank deposits, including picking up and reconciling monies from various departments.  
  • Make payable & receivable journal entries.
  • Assist with audits
  • Assist and often take the lead with grant reconciliations (SNAP, etc.)
  • Maintain spreadsheet and reconcile payments for Morin’s Catering events (80-90 events per year).
  • Maintain W2’s and with the aid of the Controller, process 1099’s at year end.
  • Work with the Director of Communications and others to maintain POS inventory.  Reconcile and make POS entities into Financial Edge and/or Quickbooks.
  • Produce invoices and process payments through POS (Square Pay).
  • Calculate and file quarterly sales tax.
  • Collaboratively assure proper internal controls are being implemented with the Controller and Chief Operating Officer.
  • Check email daily and respond to emails in a timely manner.

  • Cultivate practices of diversity, equity, and inclusion within the organization that serves the public and each other.

Office Management

  • Ordering, tracking, and delivering office supplies. 
  • Posting & delivering outgoing & incoming mail.  
  • Copying, faxing, filing, and shredding. 

Additional Skills:

  • Excellent verbal and written skills.
  • A can-do attitude and willingness to ask questions and learn.
  • Strong attention to details and strong organizational skills.
  • Comfortable working with various technology (i.e. Google Docs/Sheets/Drive and Microsoft programs).
  • Perform quality work within deadlines with or without direct supervision.
  • Interact professionally with other employees, patrons, and suppliers
  • Must be a team player.
  • Work effectively as a team contributor on all assignments.
  • Work independently while understanding the necessity for communicating and coordinating work efforts with other employees and organizations.

Education & Experience Required:

  • Accounting or Finance degree preferred.
  • At least 3 years experience with non-profit accounting required.
  • Knowledge and experience with Quickbooks is required.
  • Previous experience with accounts payable and accounts receivable required.
  • Google Drive, Google Docs, Google Sheets and other various Google applications experience required.

Additional Requirements:

  • Driving/Travel requirements – 0-10% 
  • Position Location – Providence, RI
  • Physical requirements – ability to occasionally lift/move up to 25 lbs.

This position is:

Non-exempt and is not part of the Union

Hours:  35 hours per week

Salary starts at:  $55,000
