Job Description

Job Summary:  
The Donor Relations Manager is responsible for the integrity and accuracy of the development database, for the processing of all gifts and acknowledgments, for overseeing and implementing such database applications as input, queries, report generation, donor research, and mailing lists. The manager reconciles financial reporting with the Director of Finance, participates in requirements for the annual audit and generates reports as requested.  

Essential Duties: 

  • Manage DonorPerfect Online fundraising database, including gift entry and acknowledgments, creating and modifying tables, user and mailing lists, merging/purging records, database security and integrity 
  • Process all donations and send acknowledgments in a timely fashion. Establish special communications for donor stewardship throughout year. Help to develop required campaign reporting capabilities. Notify family members when tribute/memorial donations are received 
  • Manage membership and shareholder programs, including appeals/drives, fulfillment, renewals. Update Library database (KOHA) with membership renewals for circulation privileges.  Increase membership numbers through implementation of a growth strategy 
  • Enter and track grants, report due dates and communications with foundations and government agencies 
  • Prepare constituent and donor segmentation lists for mail merging for the Annual Fund, appeals, special events, reports, pledge reminders and special projects such as the annual report and the annual meeting. Work with Finance to reconcile monthly donations, pledge status. Assist with preparations for the annual audit 
  • Research and add/update confidential biographical files on constituents, including achievements, wealth screening information, obituaries, etc. Suggest/prepare stewardship communications for directors 
  • Work with Communications/Programming to create event links for programming & event registration 
  • Coordinate logistics for venue rentals, fundraising events, donor cultivation events and annual fundraisers 
  • Provide support to the Board Chair and communication with board members 
  • In addition be willing and able to assist in other areas of the organization as needed

Qualifications Required: 

  • Bachelor’s degree 
  • 3-5 years related work experience 
  • Demonstrated proficiency with PC systems, Microsoft Office suite software, Access, DonorPerfect or Raiser’s Edge and/or other databases  
  • Highly organized, with strong attention to detail 
  • Excellent written, verbal and interpersonal communication skills with an emphasis on customer service 
  • Ability to work independently and as part of a team 
  • Demonstrated ability to multitask and work under pressure of strict deadlines 
  • Because of access to confidential donor information, willing to have a BCI background check
