Job Description

The Town of Vail is now hiring a Library Associate III-Accounting position!

The Associate works designated hours on the Service Desk each week and also fills in, whenever possible, for other staff members. Some weekends and evenings required. Associate also handles a variety of Reference, Reader’s Advisory and Circulation-related duties, on and off desk.  The Associate serves as a member of the team responsible for decision-making with regards to new databases & technologies, short & long range planning, and periodic review of programs, services & policies being considered for evaluation & improvement.  Attends various meetings & professional development opportunities; performs duties in other areas of the library and participates in various special projects, as needed. Library Associate II - Accounting duties include, but are not limited to:

  • Service Desk: Provides exceptional customer service to all library customers while working at the Service Desk and in all other interactions. Handles check-ins, check-outs, renewals, Reader’s Advisory, Reference assistance, and provides Vail visitors and guests with local tourist information, etc.  Responsible for completing tasks of assigned shift.  Works additional hours at Service Desk on an as-needed basis.
  • Budgeting: Assists Director with development of the Library’s annual budget; as well as ongoing oversight throughout the year, including projections for salaries and staffing. Tracks expenses and funding sources outside the approved budget including Friends of the Library and grants.  Assists Director in preparation of Supplemental Budget Requests during the year.      
  • Accounting: Responsible for all accounting-related matters for the library using the New World system, the US Bank website, and other internal and external applications. This includes but is not limited to weekly Purchasing Card processing and reporting; daily reporting of PayPal transactions; processing and managing accounts payable; running budget reports and deferred revenue reports, upon request.
  • Statistics: Responsible for tracking and reporting of a significant portion of the library’s statistics such as: expenditures, collection counts, circulation counts, memberships issued, daily attendance, PC Res usage, wireless usage, etc. Creates reports for internal use, reporting to the library’s stakeholders, and for the Annual Report to the State Library.
  • Cash Handling: Prepares weekly bank deposits for the library which are delivered to the Finance Department at Town Hall. The deposit Includes monies from cash drawer at Service Desk (fines, book sales, copy fees, and miscellaneous donations), Book Nook sales, and donations to Friends of the Library.  Maintains file in Excel and ensures that the cash drawer is adequately stocked for daily transactions.  Manages the library’s petty cash.
  • Miscellaneous duties related to financial and statistics matters: Performs the annual Dusty Patron purge; other miscellaneous tasks as they arise.
  • Serve the citizens and guests of the Town of Vail by abiding by all Town of Vail core values.
  • Perform job in accordance with all Town of Vail safety practices.
  • Other duties as assigned.

In addition they must meet the following requirements:

  • Bachelor's Degree preferred
  • Minimum of three (3) years progressively responsible experience in a customer service environment is required; Minimum of two (2) years progressively responsible experience in a public library setting is preferred.

Schedule / Shift:

Some evenings and weekend hours are required.
