Job Description


Title:  EVENTS SPECIALIST

Location: Support Services, 12855 E. Adam Aircraft Circle, Englewood, CO 80112  

Reports to:   Supervisor of Events & Grassroots Marketing 

FLSA Status: 40 hours, full - time, non - exempt

Pay Rate: $21.70 - $27.10

Purpose: Prepares, delivers, promotes and evaluates library programs, online events and special events for targeted audiences.   

  

Essential Duties and Responsibilities:  

35% EVENTS DELIVERY, SUPPORT AND EVALUATION - ONLINE 

  • Delivers live virtual events, adhering to best practices in order to provide a consistent, high-quality virtual experience.  Serves as host to welcome, engage, and inspire participants during facilitation of online events.
  • Works within Events team and with presenters to recommend appropriate online platforms and features to use for different types of events, such as meeting, webinar, pre-recorded webinar, breakout rooms, Q&A, polls, live transcript, etc.
  • Schedules and executes rehearsals in advance of live virtual events to ensure all parties are prepared for success.
  • Manages communication with presenters to ensure they have the correct equipment and to test internet connectivity, audio and video quality. Conducts testing and quality control procedures before and during virtual events to ensure smooth execution.
  • Offers assistance and guidance with attendee connection issues, as well as basic technical support during an event, in order to manage the attendee experience.
  • Processes and retrieves webinar recordings, manages online survey, tracks and records attendance post-event.
  • Researches trends and new tools in the virtual event space, bringing those key learnings and recommendations back to team. Keeps current on virtual event technology and capabilities to assist in the development of future virtual events.
  • Creates and prepares support content to enhance virtual events including videos, promotional slides, curated resource lists, newsletters and supply kits.

 35% EVENTS DELIVERY, SUPPORT AND EVALUATION  - ONSITE LOCATIONS 

  • Delivers events to library locations and other venues while adhering to our brand's customer service standards. Greets patrons and introduces program presenters during facilitation of in-person events.
  • Hosts and presents events and engages the audience in order to provide a consistent, high-quality experience that is fun, appealing and stimulating while promoting lifelong learning.
  • Manages the event space, including safety of patrons, experience of patrons, A/V requirements, room set up and clean up.
  • Administers patron surveys/evaluations and relays feedback to the appropriate parties.
  • Evaluates events and adjusts presentation, content and logistics as needed to ensure patron satisfaction.
  • Tracks and records event attendance.
  • Works within Events team to coordinate and execute large-scale special events.
  • Provides input and helps to research topics, materials and content to match patron demographics at each library while meeting the objectives of the program or event.
  • Communicates information on upcoming events to library staff and patrons.
  • Purchases supplies or materials for specific library programs and special events.
  • Communicates with presenters about program logistics and equipment needs.
  • Reserves equipment and other support functions as needed.
  • Collaborates with other departments to support the organization wide programming efforts.
  • Works with staff at libraries to foster relationships and adhere to branch specific details.
  •  

30% GRASSROOTS MARKETING 

  • Generates interest in circulation materials, services, resources, technology and promotions by strategically and seamlessly integrating these areas before, during and after events through displays and other means.
  • Builds relationships with patrons and provides a high level of customer service by tailoring suggestions on library programs, resources and services to meet the needs of the patron.
  • Promotes brand resources and serves as an ambassador for Arapahoe Libraries at community outreach events.
  • Distributes promotion materials within the libraries and at community events, festivals and exhibitions outside of the libraries.
  • Delivers marketing materials to local community organizations and businesses through strategic grassroots marketing.


 

Performs other related duties as assigned and requested. 

Other Duties and Responsibilities:  

  • May participate in coordinating volunteers.
  • May assist other departments with coverage during trainings and as needed.
  • May assist with district-wide projects as requested.

Minimum Qualifications: 

  • Bachelor's degree.
  • Six months to two years of relevant experience in planning and delivering events.
  • Ability to work as a member of a team within a collaborative environment.
  • Exceptional attention to detail.
  • Intermediate technology skills for Windows, Word, Excel, Power Point, Outlook and Zoom.
  • Ability to comfortably and effectively demonstrate and speak about the Arapahoe Libraries' resources and materials.
  • Ability to effectively present information in a public setting to diverse audiences.
  • Ability to engage and interact with virtual audiences.
  • Ability to calmly troubleshoot technical issues during an event.
  • Ability to adjust program content to match the ability of participants where appropriate.
  • Ability to organize work, determine priorities, handle multiple tasks, complete projects on time, and problem solve.
  • Ability to work independently in a remote hybrid setting. Although this position is remote, up to 50% of time may be spent in public library service areas throughout the district.
  • Ability to travel between multiple facilities and have a flexible work schedule.
  • Ability to work varying shifts, including evenings and weekends.
  • Reliable high-speed internet required.
  • Valid Colorado Driver's license with a clean driving record.
  • Ability to drive a light duty delivery van with automatic transmission.


 

Preferred Qualifications: 

  • Experience with crafting/art education, theater/performing arts or public speaking.
  • One year of experience using a virtual event platform such as Zoom.


 

Work Environment: 

  • The essential duties for this position are performed both indoor and outdoor.
  • Ability to work both inside and outside in all types of inclement weather conditions.
  • Moderate noise (computers, phones, printers and patron interactions).
  • Ability to work in confined areas.

Physical Activities:

Physical activities required to perform essential duties include:  

  • Must be able to remain in a stationary position 25-50%of the time.
  • Must be able to move around 75-100% of the time.
  • Ability to lift up to 40 lbs
  • Ability to carry up to 40 lbs
  • Ability to push and pull a cart weighing up to 75 lbs
  • Ability to kneel, crouch, reach and stoop 50% of the time.
