TECHNICAL SERVICES ACQUISITION SPECIALIST, ILL

MEDFORD, OR

30-HOUR POSITION

$20.79 TO $26.04 PER HOUR

THE POSITION

The Technical Services Acquisition Specialist orders, receives, invoices, and coordinates purchasing of library materials for JCLS patrons, ensuring financial integrity and operating efficiencies. The Specialist also manages the Interlibrary Loan (ILL) program, requesting books from other libraries for JCLS patrons, and preparing materials from the JCLS collection to fulfill requests at other libraries.


 


 

DUTIES AND RESPONSIBILITIES

• Orders selected materials, monitors progress of fulfillment, especially requested titles or titles in immediate demand.

• Downloads and uploads electronic files via ftp ordering or websites from a variety of vendors and other bibliographic sources.

• Maintains and updates order records and files in the ILS database.

• Verifies receipt of materials, invoices payment data via EDIFACT or other software, and processes vouchers to authorize payment from Finance.

• Resolves order discrepancies with vendors, invoices, and the Finance Department.

• Monitors, orders, and maintains title availability for identified core collections for the District.

• Tracks and sustains accuracy of payment files for reconciliation with Finance Department.

• Creates order status reports and statistics as requested.

• Monitors title release dates, publication changes and order cancellations that affect the District's ability to acquire a title for the library collection.

• Provides effective and efficient interlibrary loan services by assisting library patrons, researching requested materials, and arranging loans of materials to and from other institutions,

• Assists with weekly receipt, cataloging, and processing of serials, as well as periodical subscription renewals.

• Catalogs and processes various library materials.

• Updates various records in the ILS, including bibliographic, order, check in, and item records.

• Enters information, verifies accuracy and maintains, updates, researches and corrects errors in appropriate internal, electronic library resources and patron records.

• Explains library policies and procedures to patrons as needed.

• Provides orientation, training, scheduling, and/or assessment of volunteers as directed by manager or supervisor.

• Assists colleagues by mentoring and supporting as needed.

• Participates on committees and project/action teams as directed by manager.

• Provides functional support to collection development librarians and others as needed.

• Regular attendance.

• Performs other duties as assigned.


 

KNOWLEDGE, SKILLS AND ABILITIES

• General knowledge of library processes, collections, materials, and bibliographic tools.

• ILS modules: Cataloging, Acquisitions, Serials. Working knowledge of Circulation module.

• Knowledge/experience in invoicing, accounting, budgeting, purchase orders, and procurement or purchasing practices.

• Plan, organize, and prioritize work assignments

• Strong attention to detail.

• Analyze and resolve problems with minimal supervision

• Microsoft Office Suite of products including Word, Excel, Outlook, Publisher.

• Excellent customer service skills to handle a variety of patron interactions.

• Effective oral and written communications.

• Interpersonal skills to promote teamwork.

• General knowledge of computers, related equipment, Internet and fundamental research, and commonly used office software to perform data entry and to create original documents, save, and open/review/edit existing documents.


 

QUALIFICATIONS

MINIMUM QUALIFICATIONS

• High School Diploma or GED.

• One year of library experience


 

DESIRED QUALIFICATIONS

• Experience with purchasing and procurement systems.

• Experience with interlibrary loan or in Technical Services.


 

SPECIAL REQUIREMENTS/LICENSES

Criminal background check required.


 

COMPENSATION

JCLS has a 16-step salary schedule with steps 1.5% apart from each other. The starting salary will be based on steps 1-5 of the schedule. New hires are placed based on applicable education and experience to the job, as well as keeping within Oregon state pay equity laws. The starting range for this position is $20.79 to $22.09 per hour.
