Job Summary:

This position maintains the services of the interlibrary loan department within the Access Services department. Responsible for duties related to circulation, interlibrary, and intercampus loan. This position works autonomously to evaluate and process resource sharing requests from multiple systems, including Prospector, ILLiad, Docline, and RAPID. Ensures the protection of copyright guidelines related to resource sharing. In addition, this position assists with circulation functions regularly and on an as needed basis.

In coordination with the Access Services Librarian, develops policies, procedures, and workflows for interlibrary and intercampus borrowing and lending. In coordination with the Access Services Librarian, assures all aspects of copyright guidelines are being met. Works with other members of the department to maintain the order of the building. Position may need to adjust their schedule to assist with coverage as needed. This position requires competence in various computer systems, including Innovative Interfaces Sierra ILS, Prospector, ILLiad, Docline, and Microsoft Office suite. Provides customer service to students, faculty, and staff as well as colleagues within the department and across other library departments. Contributes to a collaborative team environment.

Major Duties and Responsibilities:

Essential:

  • As needed, may perform circulation desk duties including checking material in and out, renewing and reserving materials, patron registration, etc.​
  • Aids ILL patrons in locating books, periodicals, and government documents using library systems and holdings.
  • Screens and answers or refers inquiries (in person, telephone, email, chat) as appropriate.
  • Generates, monitors, and analyzes a variety of statistical reports which relate to ILL activities. Identifies area for improvement of library services and collections, in coordination with other library units. Uses ILL data to support collection management. Coordinates with other library departments to resolve errors in the catalog or other library systems. Participates in library committees and task forces to enhance library services.
  • Coordinates with the Access Services Department Head to develop and update policies, procedures, and workflows for interlibrary and intercampus borrowing and lending. Cross-trains student employees and Access services employees for lending and borrowing functions.
  • Interprets database licenses and maintains compliance with contract, copyright, and fair use laws pertaining to the specialty of interlibrary loan.
  • Hires, trains, and supervises student staff to ensure prompt and accurate ILL services.
  • Evaluates and processes resource sharing requests: conducts bibliographic verification and database searching, photocopies, scans and downloads articles, orders materials not owned by Regis; processes materials for mailing; sends materials to patrons. Works autonomously to provide interlibrary loan services to the entire Regis University community.

MINIMUM REQUIREMENTS:

Education:

  • Bachelor’s degree.

Required Experience:

  • Evidence of excellent communication skills, both oral and written.
  • Ability to maintain poise while effectively managing a multi-task operation.
  • Demonstrated ability to work effectively with a diverse clientele.
  • Experience with ILLiad resource-sharing management software, including lending, borrowing, copyright clearance, and reporting.
  • Strong knowledge of circulation and interlibrary loan practices and protocols including copyright guidelines and consortial and reciprocal agreements with other libraries.

Preferred Experience:

  • Knowledge of the general structure and functionality of the academic library.
  • ILLiad system administration
  • Experience with Prospector, Docline, and RAPID.
  • Ability to interpret database licenses to comply with contract, copyright, and fair use laws pertaining to the specialty of interlibrary loan.
  • Working knowledge of all aspects of the library’s integrated library system, including circulation and reserve procedures, online catalog searching, and a number of electronic databases.
  • Ability and familiarity with interpreting database licenses to comply with contract, copyright, and fair use laws pertaining to the specialty of interlibrary loan.
