Job Description
  • Job Summary: The Special Event & Programming Coordinator position is ideal for an energetic self-starter with experience in public-facing roles and event logistics, including lectures, concerts, and venue rentals. The preferred candidate will also bring technical skills, such as setting up PowerPoints and managing online programming using Zoom. Additional responsibilities include creating and distributing timely promotional materials for events and programs. This role offers flexible, part-time hours and is primarily seasonal, with most work occurring between May 1st and October 1st.

    Responsibilities include, but are not limited to:

    • Serving as the primary coordinator for program scheduling and logistics for special events, including lectures, concerts, exhibition openings, and onsite staff member for venue rentals.
    • Overseeing all communication and arrangements with speakers, including scheduling, audio/visual requirements, honorarium payments, and arrange book orders from local vendor.
    • Assist with coordinating the scheduling of deliveries from caterers and managing the needs of other professionals involved in special events.
    • Assist with the preparation of promotional materials for programming events including submitting to local event calendars.
    • Executing special projects and performing additional duties as required.

    Essential Qualifications:

    Applicants should possess relevant work experience. Strong customer service skills are required, along with the ability to build and sustain positive working relationships with colleagues, vendors, and members of the public. Candidates must demonstrate organizational abilities, attention to detail, and effective time management.
