BROAD SCOPE OF POSITION This position exists to provide access to the History Colorado collection and the photographic and documentary resources made available to patrons through the Stephen H. Hart Library and Research Center. As part of the library staff team, the position is responsible for accessing and returning collection items using knowledge of museum standards and best practices for safe handling of archival collections and long term preservation of fragile materials, and an understanding of library classification systems and museum and library collection databases. The position manages the Library and Research Center Copy Service and provides general service to library and research center patrons, and support for library operations as needed. This position is a non-classified, part time position, non-exempt from overtime under the Fair Labor Standards Act, reporting to the Director of the Stephen H. Hart Library, and serving at the pleasure of the Board of Directors. This position has been exempted from the State Personnel System. DUTIES AND RESPONSIBILITIES 1. Collection Access: Using knowledge of museum and archival storage methods, and library and museum catalogue systems, retrieves requested materials from the book, manuscript, map, serials, photograph, or other documentary collections. Maintains proper preservation handling practices and appropriate tracking procedures, and returns items to secure collection storage as needed. Identifies collection condition and storage concerns and documentation issues and makes recommendations for improvements to support the institutional goal of providing outstanding public access to and preservation of History Colorado collections. 2. Manages Copy Services: Manages patron and internal copy services, including photocopying or scanning from documentary resources, adhering to museum and library preservation standards and best practices. Fulfills patron orders; processes copy service billing and associated tracking and reporting; assembles completed orders for mail or patron pick-up; and serves as the library interface with curatorial staff for microfilm reproduction requests. Manages and tracks microfilm reproduction standing order requests with other libraries and patrons. 3. Library Operations Support: Provides general support to library operations and customer service to internal and external patrons. Monitors and maintains equipment, supplies and forms, and staffs the reception desk as needed. Desk duties include patron greeting and registration, orientation to library resources, and instruction in the use of reference indexes, finding aids, and collection access tools such as the microfilm reader/printer and on-line catalog, with a goal of ensuring that all customers receive efficient and courteous service. 4. Departmental Support: Assists with opening and closing procedures and responds to phone requests. Participates in department and division meetings and assists with tracking and reporting data related to the use of collections. Works with Collections Management and Registration staff to insure that best practices in collections handling are implemented and maintained, and strives to make the library and research center processes more efficient and effective, making recommendations as appropriate. May be assigned specific indexing, organizational, and assessment projects, as needed.

The successful candidate will have demonstrable experience with detail-oriented work including organizing and maintaining files and records, and must be computer literate. The successful candidate will possess a teamwork orientation and a strong sense of initiative. The candidate must demonstrate diplomacy, active communication skills, and positive “people skills.” The candidate must also be flexible and comfortable operating in an environment undergoing change. Highly Desirable Qualifications: Work with special collections in a library, archives, or museum setting is a plus, as is knowledge of standards and best practices in libraries and museum collections management. Experience with computer programs such as Microsoft Office, including Microsoft Access, FileMaker, and other related programs is highly desirable. Experience in a facility using museum collection databases and on-line library catalog programs is also highly desirable, as is previous work in a customer service-oriented environment. Special Necessary Requirements: A condition of employment is the successful completion of a background check and the acceptance of a compensatory time agreement. Must be able to work from 10:00 a.m. to 4:30 p.m., Wednesday through Saturday. This position requires the ability to lift boxes up to 40 lbs from 14’ shelves using a ladder. Requires the ability to spend long periods of time standing, as well as long periods of time sitting.
