Compensation/Benefits: $29,830 - $40,358 /yr, includes full-time benefits

Hours: Full-time, 40 hrs/wk; business hours: Monday - Friday, 8am - 5pm

Role: Orders, renews, receives, processes, and performs cataloging quality control of print, A/V and electronic materials, and prepares invoices for payment.
Major Duties and Responsibilities:
35% – RECEIVING – Receives materials by unpacking boxes, checking contents against packing slip/invoice and original order; solves discrepancies by documenting those discrepancies via ILS and communicating with vendors; returns damaged materials; sorts and delivers mail to staff in order to receive and forward mail and packages shipped to the library district.
15% – ORDERING – Orders materials selected by Collection Development Librarians and member libraries; places orders directly with vendor or via EDI using ILS; reorders items not received and verifies information is correct in order to purchase materials for the collection.
15% – SERIALS – Uses ILS serials module to create predictions and serials cards to track receipt of serials; receives serials and routes to owning location; works with vendors to problem solve missing issues; performs electronic and manual claiming; updates and orders new subscriptions at Collection Resource Manager’s direction; works with internal customers to maintain routing list of internally routed publications; communicates serials title status to public service staff and member library staff.
10% – CATALOGING QUALITY CONTROL /COLLECTION MAINTENANCE - Checks description and accuracy of cataloging, holdings information, and processing of items cataloged to ensure adherence to national and local standards; maintains collection by withdrawing older editions as newer editions are received and switching reference items to circulation.
10% – RECORD KEEPING – Verifies invoices reflect receipt of materials ordered; codes invoices to appropriate budget category; maintains financial data in ILS and on spreadsheets; maintains files; researches and reconciles any discrepancies with vendors; forwards invoices to Finance Department; invoices member libraries; and creates budget reports and other reports in order to ensure accurate payment of invoices and report financial information.
10% – PROCESSING – creates and maintain holdings records in ILS; adds barcodes and programs RFID tags to materials received; jackets hardbacks and covers paperbacks; creates and attaches spine labels and/or genre/collection labels.
5% - OTHER DUTIES – Performs other duties such as additional processing, receiving of donated materials, materials unpacking and unwrapping, placing barcodes on materials, filing, organizing mail room, backing-up other Acquisitions staff in their absence, and assists Supervisor in order to ensure the smooth operation of the department.
