Job Description

Working within the Law Library and Information Services department, the Library Assistant handles incoming materials—in both print and electronic formats—and processes invoices for the Library Manager’s approval. They also ensure a current and tidy physical collection and are expected to become familiar with the Library’s resources. All staff in the Library cross-train to a certain extent so that each can assist attorneys and staff with their research and information needs. The Library Assistant must be highly service-oriented and capable of interacting on daily basis with a wide variety of users in a professional setting. They must contribute to the marketing of the Library collection and services to the firm and share with other Library staff any comments or feedback received. Active participation in department meetings as well as contributing to procedures and best practices is required. Accuracy, attention to detail, organizational proficiency, the ability to manage one’s workload, and multi-tasking skills are essential. The Library operates from 8:00 - 5:00, Monday through Friday. All Library staff work an 8-hour day with an hour break for lunch.

Specific responsibilities include:

  • Ordering new materials as requested and approved by the Library Manager and track items received in a timely manner in the department ILS; verify online catalog accurately reflects the Library collection
  • Routing electronic titles; monitor availability of new electronic subscriptions for potential print replacement
  • Keeping routing lists and office copy distribution lists updated
  • Resolving discrepancies (e.g. wrong title received, incorrect number of copies received, item not ordered, item not received) and billing issues with vendors; be mindful of irregular or staggered subscriptions
  • Upholding Library appearance and efficiency by shelving, shelf reading, shifting, and rearranging the print collection for optimal ease of use
  • Managing loose-leaf filing and follow up when book is not on shelf
  • Ensuring current editions of titles are available for check-out and label or remove superseded copies
  • Coordinating interlibrary loan requests and follow-through for a timely return
  • Monitoring CLE collection and verify accreditation of programs on a regular schedule
  • Documenting and training other members of the Library and Information Resources department on Technical Services procedures and best practices

Must be able to lift up to 40 lbs. and push Library book carts.

Once knowledge of the collection and skills using available resources has been established, they should be able to assist with ready-reference and staff the reference desk at times.

Additional responsibilities may include:

  • Demonstrating knowledge of legal and non-legal resources in different formats and determining which is appropriate for a given project
  • Honing strong technical skills in electronic legal databases relevant to the firm’s practices, including, but not limited to: WestlawNext, LexisNexis, HeinOnline, Lexis Securities Mosaic, Bloomberg BNA products, Courtlink, ICCES, CorporateCounsel.net and other Executive Press services, Accurint, PACER, PLC, RMMLF Digital Library, and RIA Checkpoint
  • Exhibiting high levels of skill in oral and written communications are required to effectively deliver an end product to the requestor
  • Providing training assistance in use of the Library collection and commercial databases
  • Maintaining and improving the Library intranet page

Qualifications and skills:

  • Should be familiar with Library of Congress classification, as well as with the mechanisms and missions of private libraries
  • Solid data entry skills and proficiency in Microsoft Office products a must; a familiarity with SharePoint preferred
  • It is important to develop positive working relationships with publishers and vendors in order to ensure the firm receives prompt and efficient service
  • Must be able to work independently and follow through on projects until completion, yet maintain a dialogue with the Library Manager
  • There is an emphasis on nimbleness and flexibility, the faculty to assume a diversity of roles, a desire to learn new things, and a willingness to pitch in where needed
