Job Description

ANNOUNCEMENT OF POSITION VACANCY

ACQUISITIONS LIBRARIAN

SUMMARY: Reporting to the Head of Technical Services, this position is responsible for the supervision and management of all aspects of Acquisitions operations to include monitoring the materials budget and expenditures; managing the ordering and receipt of library materials, supplies, and equipment; and allocating funds and paying invoices. The Acquisitions Librarian also reviews and implements collection management policies; maintains accurate acquisitions statistics: produces reports; and, monitors, assesses and establishes procedures as necessary.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other related duties may be assigned.

Oversees administrative aspects of Acquisitions:

• Manages library acquisitions.

• Creates procedures for expenditure processing, reporting, and tracking orders, revising as needed.

• Verifies the receipt of materials and processes payment of invoices.

• Analyzes budget and estimates future expenditures.

• Reconciles budget monthly, and produces report for Library Director.

• Manages departmental files and statistics.

• Complies with the University’s Fiscal Rules, policies and procedures.

• Prepares initial annual library budget request for the Library Director. Makes recommendations to Director for new budget requests.

 

Processes all library orders:

• Manages library material, supply and equipment orders. Locates sources for ordering materials. Resolves related problems.

• Processes consortial purchases such as for the Colorado Alliance of Research Libraries (The Alliance) and Colorado Library Consortium (CLiC) databases.

• Processes library purchases: determines account codes, obtains authorizing signatures, checks for fund availability and determines best procurement method for items or services requested.

• Enters requisitions efficiently and accurately into Banner (CMU’s software program). Closely monitors Non-Sufficient Funds purchase orders in order to expedite issuance of purchase order.

• Reconciles purchase orders to invoicing and resolves any problems.

• Works with the Accounts Payable staff to ensure proper payment and encumbrance liquidation.

Other related duties:

• Provides excellent customer service to internal staff. Promptly and accurately provides requested information.

• Actively participates in departmental meetings. Serves on library and campus committees as assigned. Prepares reports as required.

• Selects materials for assigned academic departments.

• Provides library instruction as requested.

• Participates in the development of library-wide policies, procedures, and goals.

• Supervises staff and student employees.

QUALIFICATIONS

REQUIRED EDUCATION and/or EXPERIENCE

• Master’s degree in Library Science from an American Library Association accredited program.

• Two years procurement or library technical services or library acquisitions experience.


REQUIRED SKILLS

• Ability to work independently and implement solutions effectively.

• Ability to multi-task in busy, deadline-oriented department.

• Excellent customer service, interpersonal and communication skills.

• Excellent computer skills including spreadsheets, databases and Microsoft Office applications.

• Proficiency with 10 key calculator.

• Extreme degree of accuracy and willingness to learn new programs to attain proficiency.

PREFERRED EXPERIENCE

Experience working in higher education or other large, complex organization. 

TYPE OF APPOINTMENT: Full-time administrative appointment.
