Job Description

Position Summary:

The Library Assistant II performs a variety of technical and administrative tasks to support the purchase of library materials, including firm orders and approvals, serials, and electronic products; monitors expenditures; supports budget planning through data gathering and analysis; designs and prepares expenditure reports; maintains accurate acquisitions records; and oversees invoice payments. Establishes and maintains relationships with publishers and vendors; and collaborates with staff regarding budgetary aspects of collection development.  Job requires well-developed verbal skills to present and exchange technical or complex information. Responsible for work on an independent basis subject to supervisory direction and review.

Essential Functions:

  1. Receives request for library materials and performs pre-order research and verification of bibliographic data in electronic sources such as local on-line catalog, and the Internet. Confirms availability of materials.
  2. Manages and expends acquisitions budget and produces financial reports from the ILS that clearly track monies allocated, encumbered and expended for different types of collections and subject areas.
  3. Enters orders in the library's on-line catalog and acquisition system. Identifies funds for payment and notifies selector of low funds;
  4. Monitors open orders. Communicates with staff and vendors to clarify status of requests, orders and payments.
  5. Receives materials, updates on-line file and enters invoices in on-line system. Sorts and distributes materials to appropriate departments for cataloging and processing.
  6. Keeps Library Administration and selectors abreast of budget and pricing issues.
  7. Runs reports related to fund accounting, vendor statistics and other acquisitions functions as assigned.
  8. Resolves problems and answers questions from requestors, vendors and other library staff. Returns incorrect materials, tracks payments and maintains appropriate support files such as vendor catalogs, correspondence and addresses.
  9. Merges duplicate records for coworkers. Advises collection development staff/librarians about availability of new materials.
  10. Remains knowledgeable of current trends in acquisitions, collections and electronic resource management.  Seeks opportunities to introduce new methods and technologies to improve service.
  11. Performs copy cataloging and some original cataloging
  12. Performs other related duties as assigned.
