Job Description

Administrative Assistant III This full-time position is located in the Library at Front Range Community College -Westminster Campus. Primary duties and responsibilities include: provide the Library and the Library Director with administrative support. Order supplies, receive/route phone calls, schedule meeting rooms, and serve on committees as needed. Serve as the Library liaison to the campus, manage campus related projects and initiatives. Prepare budget documents, process invoices, and originate small purchase orders, purchase requisitions, expense vouchers, travel requisitions and official functions following college and state guidelines. Maintain supplies and equipment spreadsheet. Plan and schedule meetings, prepare agendas and location of meetings, and meeting summaries/minutes. Prepare policy and procedure manuals as needed. Process and record expenditures of substitute reference librarians. Process student hourly and temporary classified payroll sheets. Provide information on expenditures. Prepare reports and/or spreadsheets as required. Act as point person for Library facility needs; submit facilities work requests, communicate with facilities staff regarding meeting room set-up needs and other facilities issues. Substitute on public service desk - information desk and/or circulation desk when needed; cross train for various library tasks. Collaborate with Director to evaluate usage statistics and prepare reports describing analysis and conclusions regarding library programs and services. Prepare information for the annual State Library Survey. Position utilizes several computer programs such as Microsoft Office to include Word to compose correspondence, reports, edit and distribute memos, etc., utilize Excel and Access to create spreadsheets, tables and formulas, upload/download and manipulate data in spreadsheets to maintain records and Outlook to maintain calendar and appointments.

MINIMUM QUALIFICATIONS: Thirty-six months (36) of higher level clerical experience related to the position. Experience working in a library is highly desirable. In order to be considered for this position, your experience must be documented on your application. Daily interaction with students, faculty and staff require that this position have strong interpersonal, communication and organizational skills. Candidate must have well developed customer service skills to interface with a variety of people from many levels within the organization. Effective verbal and written communication skills are necessary for success in this position. (Part-time experience will be pro-rated) SUBSTITUTION: Two years (60 semester hours) of college, university, or non-correspondence business school course work may substitute for up to 24 months of clerical experience as listed above.
