Job Description

General Statement of Duties:  The Technical Services Cataloging and Acquisitions Specialist is responsible for the cataloguing of all materials that are added to the Amelia V. Gallucci-Cirio (AVGC) library collections. Types of materials that are catalogued include books, electronic resources, sound recordings and visual materials, among others. Tasks include, but are not limited to, original and copy cataloguing, batch loading of vendor-supplied records, conversion and/or reclamation projects and authority control. The Technical Services Cataloging and Acquisitions Specialist is responsible for maintaining the accuracy and completeness of bibliographic data contained in the ILS on an ongoing basis. This position orders library materials and coordinates and/or conducts physical processing of new materials.

The Technical Services Cataloging and Acquisitions Specialist will also be assigned duties in the University Archives & Special Collections department of the AVGC library, under the supervision of the Head of Archives and Technical Services.. These duties may include: creating and maintaining metadata for archival collections using Encoded Archival Description, cataloguing of rare books, collection guides and university publications, assisting with processing both paper-based and digital archival records, maintaining the stacks for the rare book collection and boxed records in the storage room, assisting with administrative record-keeping for archival collections and workflows, and managing inventory/ordering of processing supplies.

Detailed Statement of Duties and Responsibilities:

  1. Creates new bibliographic records in OCLC Connexion following current cataloguing rules for items where no bibliographic records exist. Analyzes and edits information including personal names, title and series titles, call number, publisher, physical description, subject/genre headings, etc.
  2. Assists with metadata/local record migration projects. Anticipated projects include moving from a legacy Voyager system to a new integrated library system (ILS) during the 2021-2022 academic year.
  3. Maintains the accuracy and completeness of the ILS by updating volume information; making call number changes; flagging missing books; deleting records of lost, dated, or damaged items that have been withdrawn from the collection; transferring items from one collection to another; and resolving problems and inconsistencies as they are found.
  4. Assists in the training of students and part-time assistants in their performance of Technical Services duties. Assigns tasks and reviews quality of work. Participates in the hiring process of student workers.
  5. Coordinates and assists with library inventory projects.
  6. As required, assists with the operation of the Technical Services department in absence of the Head of Technical Services and Archives.
  7. Assists in discard of obsolete materials from library collections in consultation with professional staff.
  8. Withdraws damaged, or duplicate items from library collections per the recommendation of professional staff and updates OCLC and ILS (Voyager) to reflect such changes.
  9. Performs cost-effective ordering and receiving of all library materials.
  10. Makes scheduled updates to the Summon discovery service.
  11. Coordinates and/or conducts physical processing of new and existing materials and prepares materials for shelving.

General Library Responsibilities:

  1. Assesses the need for equipment, supplies and personnel, and recommends acquisition of such to the Head of Technical Services and/or Library Dean.
  2. In collaboration with the Dean's Administrative Assistant, monitors associated acquisition budgets and prepares financial reconciliation reports.
  3. Participates in the development of library policy by considering library goals and objectives and utilizing statistical and other information.
  4. Represents the library at various professional meetings and training workshops. May represent the Library on varying committees as necessary.
  5. Assist the Dean with library-related projects as needed.
  6. Other duties as required.


Requirements:
 

Qualifications Required at Hire:

  1. At least three-years of experience working as a cataloger or part time equivalent experience; preferred qualification is an undergraduate degree with at least three-years of experience working as a cataloger or part time equivalent experience.
  2. Ability to use a computer and basic office software (Word, Excel, etc.).
  3. Experience in cataloging with an online utility is required; OCLC experience preferred.
  4. Experience with an online public access catalog; Ex Libris Voyager or other Integrated Library System experience preferred.
  5. Knowledge of the Library of Congress classification and subject headings on system. Dewey system could be substituted.
  6. Knowledge of AACR2 and RDA cataloging rules.
  7. Knowledge of the methods, materials, tools and equipment used in library work.
  8. Knowledge of Technical Services department functions and procedures.
  9. Ability to establish and maintain harmonious working relationships with department employees and the University community.
  10. Good verbal and written communication skills.
  11. Ability to stay current within a changing work environment

Qualifications Acquired on Job:

  1. Knowledge of Fitchburg State Technical Services department and library policies and procedures.
  2. Familiarity with GOBI Library Solutions for acquisitions.
  3. Ability to contribute to departmental policy decision-making.
  4. Use of the Library of Congress Classification WEB package.
  5. Working with various reports issued by the library's authority control vendor. Bibliographic records with errors or unresolved issues must be examined individually to correct headings and other problems.
  6. Running reports from Voyager or other ILS.
  7. Coordinating projects.
  8. Familiarity with CONTENTdm software for archival work.

Minimum Entrance Requirements:

  • At least three-years of experience or part time equivalent experience working as a cataloger.

Shift Information: Full time, benefited AFSCME Union position. 37.5 hours per week.
